TERMS AND CONDITIONS

Bookings

Completion of this form confirms your acceptance of our terms and conditions. Once registered, if you wish to cancel and nominate a replacement, please contact Missing Children Europe in writing either at or to Missing Children Europe’s postal address on the booking form. See cancellations / transfers below for further information.

Payment will be invoiced in advance of the conference and must be settled prior to commencement of the conference. If payment is outstanding the Conference Organisers reserve the right to refuse entry.

Joining instructions will be sent within seven days of the event. If you have not received these within 5 days of the event, please call us on the number of the booking form.

It may be necessary for reasons beyond our control to alter the venue, schedule or content of the event. Missing Children Europe and the Event Organisers cannot accept liability for any cost incurred.

Cancellations / transfers

Notice of cancellation must be given by written, should state the reason of cancellation and be sent by registered postonly. The following sliding scale applies:

Days to start of conference / Cancellation fee as percentage of full price
Over 60 days / 50 %
59 to 30 days / 65 %
29 to 8 days / 80 %
7 days or less / 100 %
Non attendance / 100 %

Substitutions for delegates will be accepted if notified in writing. There will be no administration fee charged for this, however they will be subject to the same cancellation fees as above if they subsequently cancel with no other substitute.

Special requirements

If any attending delegate consider they have special requirements, the Conference Organisers will try to meet those requirements as far as is practicable.

Data protection

Personal data provided on this booking form will be held on a database but will not be circulated to any other parties.

Payment conditions

Missing Children Europe’s invoices are payable – in the currency of the country – within 30 days of the invoice date. All bank charges have to be supported by the debtor.

Prior to approval to the General Secretary, an arrangement can be negotiated in case of difficulty of payment.

Any contestation of an invoice must be transmitted to Missing Children Europe within eight (8) days after receipt of the invoice, by registered letter and duly justified, otherwise the invoice will be deemed accepted.

In the case of non-payment of an invoice on the due date, the payment of the invoice shall be immediately payable.

Any unpaid invoice at the due date shall bear, by right and without formal notice, an interest for late payment of 1% per month.

Furthermore, by the mere fact of not paying an invoice by the due date its amount shall rightfully and with no prior notice, increase by 10%, with a minimum of 25 Euros as damages for late payment.

Any dispute concerning the present invoice shall be referred exclusively to the Belgian Courts in the region of the registered office of Brussels.
