3.THE FACULTY

The Faculty of Applied Science is one of seven faculties at RMIT and enrols over 3,500 students in educational programs ranging from certificates and diplomas at VET level through bachelor degrees to PhD awards. Over 300 staff deliver these programs to students in a variety of modes over two campuses.

The Faculty consists of eight departments — Applied Chemistry, Applied Physics, Geospatial Science, Food Science, Psychology & Disability Studies, Mathematics, Statistics & Operations Research and Applied & Environmental Sciences (VET) — and the School of Computer Science and Information Technology, in addition to two research centres. Six of these operate on more than one campus.

A special feature of RMIT Applied Science programs is the vocational emphasis and individual orientation of each program, enabling students to commence activities in technology specific areas in the first year of their professional career or, as an option, delaying their choice until the end of the first year. Industry has clearly recognised and strongly supports this vocational bias.

Master and Doctoral degrees by research are offered either full - time or part - time and may be conducted within the university or at the candidate's employment, where appropriate, or jointly between departments. Collaborative research projects involving the candidate's employers or other relevant outside organisations are not only welcomed but also actively encouraged. Professional Doctorates are also available in some areas.

The Faculty is a major provider of teaching and learning and research and development and other services to a number of other Faculties within the University. Approximately 30% of the activity of the Faculty is directed in this way.

The Faculty also has significant activities in the commercial area by way of undertaking contract research and development, commercial consulting and contracts and commercialising its intellectual property through, for example, the establishment of spin-off companies in collaboration with investment partners.

4.THE SCHOOL

The School of Computer Science & Information Technology, one of Australia’s largest, has been formed from the former Department of Computer Science. The School prides itself on the quality of its graduates, achieved through programs with a strong emphasis on both theory and practice, and seeks to make a significant contribution to computing and IT education and research.

The School of Computer Science & Information Technology maintains a close research association with two Research Centres: the Multimedia Database Group (MDS) and the Software Engineering Research Centre (SERC). MDS is an international centre providing strategic research, development and knowledge transfer to enhance the competitiveness of Australian industry. SERC’s aim is to combine expertise in software engineering and performance analysis for the creation, development and support of new telecommunications services and technologies. The directors of MDS and SERC are full members of the School Board.

The School also offers a range of service programs to other departments and short programs to industry.

The teaching programs of the School cover a wide range of Computers Science and Information Technology areas including programming languages and methodology, software engineering, computer architecture, distributed systems, theory of computation, database systems, human-computer interaction, computer graphics, artificial intelligence, data communications and networks, operating systems, and systems programming.

In addition to the above programs, the School has an active involvement in research and development.

Currently, major research groups exist in the areas of:

•data engineering,

•database systems,

•distributed information systems,

•intelligent systems, and

•software engineering and interactive systems discipline.

The School also conducts research in conjunction with the Software Engineering Research Centre and MDS. The School operates a number of networked high performance mini-computer systems running UNIX. A wide range of computer laboratories and networked workstations is available for teaching and research. Students also make have access to a range of other computer equipment including super-computer facilities.

  1. JOB SUMMARY

The Department Administrative Officer is primarily responsible for providing student and academic administrative support for undergraduate Programs within the Department of Computer Science at the Bundoora Campus and also has responsibility for day to day accounts payable/receivable and administrating pay claims.

The Department Administrative Officer will also be an active participant in service improvement initiatives across the Department.

  1. REPORTING RELATIONSHIPS

The position reports to the Business Resources Manager for overall coordination and management purposes, with day to day reporting to the Department Administrative Coordinator - Bundoora.

  1. SPECIFIC ACCOUNTABILITIES
7.1Position Accountabilities

7.1.1To design and organise orientation programs for undergraduate students at the Bundoora campus. The main objectives of the orientation program is to provide positive initiation/impression into the Department, create awareness of the support services available and other relevant information, ensuring both local and international students are properly equipped to commence classes.

7.1.2To assist in the production and editing of undergraduate documentation such as Program information brochures and making relevant policy and procedural documentation easily accessible. This includes ensuring the Department’s undergraduate website contains relevant and up to date information which is consistent with other areas within the Department, Faculty and University.

7.1.3To obtain information from University and Departmental student records systems that provides information on the status/progress of individual students and present reports on matters such as at risk students, special consideration and deferred exams.

7.1.4To coordinate conferences and special events.

7.1.5To organise promotional events such as Open Day to promote the Department’s Programs and recruit new students.

7.1.6To develop and maintain program maps for undergraduate programs at the Bundoora Campus.

7.1.7To develop and implement undergraduate programs timetable at the Bundoora Campus. This involves devising and implementing a space utilisation strategy for 50 lectures/tutorials/lab sessions, and the allocation of 20 sessional staff and 300 students to these sessions in an efficient and effective manner ensuring the best possible utilisation of resources and the smooth operation of the undergraduate programs.

7.1.8To coordinate the staffing and administrative requirements for examinations, including special considerations deferred exam organisation and academic progress letters, at the Department’s Bundoora campus ensuring proficient running of exams for students. This includes procedural advice to academics and students.

7.1.9To provide general administrative duties to the Computer Science & IT School at Bundoora, including processing forms, meeting organisation, take minutes of meetings, photocopying, stationery maintenance and other administration duties as they arise.

7.1.10Day to day accounts payable/receivable including raising purchase orders, invoices including completion and submission of purchase claims, petty cash and journal entries.

7.1.11To provide a courteous front line customer service to all Computer Science and Information Technology students, current and prospective and other key stakeholders, including the provision of policy and procedural advice.

7.1.12Provide procedural advice to International Students, including advice on forms and processes, and referral to the International Student Academic Coordinator or International Student Advisor. Provide support to the International Student Academic Coordinator and International Student Advisor in terms of room bookings, appointments and student referral and procedure system.

7.1.13Responsible for the library liaison role, including managing budget effectively, identifying needs, buy/negotiate staff. and/or student web access and publication requirements, ensuring books and subject guides correlate, responsible for CS book recycling service, and attending ASLINC meetings throughout the year.

7.1.14To contribute to the development and review of administrative processes, policies and procedures, under the direction of the Business/Resource Manager and ensure that they are implemented in an efficient and professional manner, maintaining the quality service delivery objective of the Department.

7.1.13Other duties in line with Department strategic directions and as negotiated with the Business Resource Manager.

7.2Corporate Accountabilities

To contribute to the strategic direction setting and policy making process of the University and the Department by participating in key Department, Faculty and University forums and undertaking specific Department level project/tasks.

8QUALIFICATIONS

Essential: A Diploma in Office Administration and/or equivalent education/experience.

Desirable: A Degree is preferred.
