Admin Support Officer for the Woodard Academies Trust
Post:Admin Support Officer
Responsible to:Executive Assistant/ Office Manager
Purpose:To provide and ensure high quality administrative support for the Trust
To support the management of competing priorities and ensure efficiency and effectiveness
To contribute to the further development of our core business
Key Accountabilities:
1. Central Support
To supportthe central administrative function of the Woodard Academies Trust (WAT)
To act as WAT receptionist and the central point of contact
To provide administrative support to WAT Executives, Chairman and Trustees, as directed
To manage diaries and arrange meetings under the direction of the Executive Assistant / Office Manager
To maintain a central database of key documents and files
To maintain an archive of documents, both electronic and paper, as directed
To foster and support stakeholder engagement
To attend appropriate meetings as and when required
To maintain high standards of administration and support
To contribute to and support the further development of the Woodard Academies Trust
2. Wider Administrative Support
To supportgood communication between Trustees, Corporation and other Executive Officers
To support meetings, producing agendas / minutes as required
To meet and greet visitors, displaying due courtesy and professionalism as appropriate
To maintain the corporate image at all times, including standard templates for all communications
To support the production of key documents for the Board, DfE and other external agencies, as appropriate
To assist in the planning and organisation of central events including training and conferences
To support the development of high quality marketing materials, including recruitment the website
3. Other Duties
To support recruitment processes and central training and development sessions, as appropriate

To assist in the organisation of events, as requested
To be responsible for providing hospitality and refreshments for visitors and meetings
To undertake training and development relevant to the post and in line with the Academy’s developing profile
To undertake other duties, compatible with the level and nature of the post,as may be reasonably required
To assist in ensuring compliance with Woodard Academies Trust policies
Person Specification
Educated to at least Level 3 standard or above
Evidence of training and/or qualifications which reflect appropriate knowledge and skills
Excellent administrative and organisational skills
Ability to anticipate requirements, prioritise workload and hit deadlines
Excellent communication skills in all forms of communication
Highly competent with computers, software and other technologies
Understanding of the importance of confidentiality and discretion
Excellent literacy and numeracy skills
Experience of diary management
Appropriate range of experience and a wide range of transferable skills
Proactive and willing to be flexible
High standard of professionalism
Ability to remain calm under pressure
Supportive of the ethos and work of the Trust
