HR GUIDELINES FOR GRANT FUNDED POSITIONS

Objective:

The primary objective of this document is to provide guidelines to Principal Investigators and Department Managers in completing the Staff/ Personnel Costs section of the Research Grant Proposal in line with the Institution’s policy.

Budgeting for New Positions:

1.  A generic position title should be used from the attached approved structure. In case of a significant change in the job profile requiring a new position title, a revised job description should be sent to HR for proper classification.

2.  Salaries for grant positions should be budgeted based on the attached salary structure. In case a more experienced individual is required, the higher side of the salary range could be used for budgeting, but not beyond the maximum salary mentioned.

3.  Also include the cost of benefits applicable to faculty and staff. As per HR policy, those employed for less than 12 months are not entitled to benefits, so it is not necessary to budget the cost of their benefits. However, if there is a likelihood of the grant being extended to a year or more, the benefits cost should be included at the outset.

4.  Keep a provision in the budget for annual salary increase at an average of 15% - 20% in Pak Rupee terms. According to the AKU policy, employees joining on or before 1st July are eligible for the annual salary increase effective January of the following year.

Recruitment Process:

1.  After the grant has been approved, the Principal Investigator should send a Personnel Requisition duly approved by the Department Head and Finance, along with a Job Description, to HR to initiate the hiring process.

2.  While these salary ranges are for budgetary purposes, the actual salary offer will be on the basis of the individual’s profile while maintaining internal equity.

3.  On-board faculty/staff being transferred to grant positions would continue benefits as currently applicable to them.

Budgeting for On-Board Employees:

Cost for on-board faculty and staff who will be working on the project should also be included in the proposal. This will be based on their current salary and benefits cost calculated for the percentage time spent on the project.
