Rapid Timecard Entry

Step 1

On your AiM WorkDesk, click on “Time and Attendance” under Menu on the left hand side. Or “Rapid Timecard Entry” under quick links

Step 2

Click on “Rapid Timecard Entry”

When selected the rapid timecard entry “template” is displayed.

Step 3

  • Enter the Work Date using the calendar button

Note – If the calendar button doesn’t work, enter the date with a 3-digit month (i.e. JAN or OCT),

space, two-digit day (i.e. 08 or 31), comma, then 4-digit year (i.e. 2015).

  • Enter your AiM login (eID) under Shop Person, then press magnifying glass (to verify)

If you charge time to Work Orders, Time Type and Labor Class will fill in automatically.

If you need to change the Labor Class from REG you can do so.

  • Select the Add button to add the time card

Time Card Entry - Post to a Work Order - Regular Time (i.e. Zone shops)

  • Click on “Time Type/Labor Class” and select “Post to WorkOrder”
  • Click on “Leave Code” and select “REG”, “OT2”
  • Click on “Work Order/Phase” and key in the Work Order number or “Execute” to search for the Work Order number
  • Click on “Phase” to select your shop phase.
  • Add the number of labor hours.
  • Note: overtime and REG can’t be posted on the same line, you will need to create two lines for the same day.

Time Card - Post to a Work Order – LeaveTime(i.e. Housing Maintenance shop)

If keying in only one timecard, click the “Save” button.

If you need to enter more timecard lines, go to Step 4.

Step 4

If you need to key in more than one day

  • Click on the button for each day and repeat Step 3
  • Example, if you need 3 timecards, click it 3 times.

If you have one that you need to take off, click the box beside it and hit the red button.

Step 5

Repeat the same action in Step 3

  • Post to Work Order, Leave Code, Work Order/phase for each date
  • Enter the number of hours worked on each Work Order.
  • Click the “Save” button

  • Note: You may see a message letting you know that you are not “assigned” to the phase. If you are sure this is the correct work order just click the yes button. Your timecard will still be accepted even if the phase was not assigned to you.

Your timecard is now complete and assigned a transaction number.

You can click into the transaction number if you want to see the details for your timecard
