Finance Manager / Accountant

ROLE DESCRIPTION

The Finance Manager / Accountant will be required to contribute to the efficient operation of the Finance Team and consequently is required to work closely and effectively with the Business Manager, finance and office staff in the context of a team environment.

It is expected that in all dealings with the School community, including staff, parents, students, suppliers and members of the Board and sub-committees; the Finance Manager / Accountant will present a highly professional, friendly and responsive attitude reflecting the high quality service to be provided by the Finance Team.

POSITION OBJECTIVES

·  Support the Business Manager with the Financial Management of the College.

·  Provide accounting support to the Business Manager and staff within the Finance Team, including the areas of Accounts Receivable, Accounts Payable and Payroll Functions of the College.

·  Prepare monthly finance College Reports.

·  Liaise with all members of the school community and the general public maintaining a high degree of confidentiality.

·  Support the ethos of Loreto College as expressed in Loreto documents, the staff handbook and updated from time to time by the Principal.

Accountability

The Finance Manager / Accountant is responsible to the Principal through the Business Manager.

KEY RESPONSIBILITIES

Communication

·  Communicate openly with the Business Manager and promote positive and effective communication between members of the Finance and Office teams, teaching and support staff, students and the School Community.

Accounting Duties

·  Maintain and reconcile the general ledger to ensure the P&L and Balance Sheet accurately reflect the current financial position of the School on a monthly basis.

·  Be responsible for the accurate recording of asset values on receipt and the maintenance of written down values on a periodical basis.

·  Preparation of monthly BAS statements and quarterly FBT data.

·  Maintain a strong working knowledge of the GST requirements and procedures, particularly as they apply to the School’s financial and trading (fee related) activities and transactions.

Financial Reporting

·  Prepare the College’s and associated entities monthly finance reports.

·  Ensure all Government Funding reporting requirements are completed.

·  Prepare monthly reports and analyses for management and governance.

·  Assist with the preparation of the College’s and associated entities annual financial statements.

·  Undertake the ad hoc development of business cases, projects and reports as required by the Business Manager.

Financial Services

·  Monitor actual performance against budget throughout the year and work with responsible staff to stay within budget.

·  Monitor the Bank Balance, cash flow and cash requirements, keeping the Business Manager informed of these positions.

·  Liaise with the Catholic Education Office (CEO) in relation to the payment and calculation of Government Grants and other financial matters as they pertain to the CEO.

·  On a monthly basis, collaborate with the Finance Team to ensure the accurate and timely completion of the Bank Reconciliation and cash position report to the Loreto Province Office. Verify the completed Reconciliations for the Bank Accounts and for each special purpose Fund against the Provincialate balances.

Fees

• Accurately prepare and calculate fee, levy, discount and other charges for all families. Ensure Fee Statements are forwarded to parents in a timely manner.

• Conduct the Debtor management process with a view to minimizing the loss of income from Bad Debts and Debtors. Liaise with the Business Manager as necessary

• Maintain records for Scholarships and Bursaries.

• Prepare monthly Management Reports in relation to billing analysis and Debtor collections.

• With the Business Manager, review the Fee billing structure as necessary to ensure efficient of the various methods of electronic payments.

• Co-ordinate and manage the collection of all online Fees.

• Collect and record parent payments for School trips.

General

·  In conjunction with the Business manager, be responsible for the performance and ongoing improvement of the accounting, finance and administrative systems.

·  To be active in relevant school and professional associations keeping abreast of current trends, ideas and practices through in-service courses, formal study and broad reading.

·  Assist members of the Finance Team to ensure efficient performance of Payroll, Accounts Receivable and Accounts Payable functions

·  To be active in the overall life of the College as an administrator and staff member.

·  Other duties as directed by the Business Manager and/or Principal.

Key Selection Criteria

Essential

1.  Tertiary Accounting Qualifications, preferably with CA or CPA qualifications.

2.  Advanced skills in Microsoft Office in particular Excel, databases and general use of ICT

3.  A knowledge of Accounting Software packages

4.  Excellent communication and interpersonal skills

5.  Demonstrated ability to work in a team

6.  Demonstrated high level accounting skills

7.  Commitment to professional development and willingness to undertake training as required to further develop skills.

8.  An awareness of and commitment to the College’s aims as a Catholic College.

Desirable

1.  Experience working within a school environment.

·  Terms and conditions of service are set out in the Victorian Catholic Education Multi Employer Agreement (2013).
