Job Title: Auxiliary Support Secretary Wage/Hour Status: Nonexempt

Primary Purpose:

Under direct supervision provide reception and clerical assistance for the efficient operation of the business office specifically in regards to financial duties related to maintenance, transportation, and athletics on a limited basis.

Qualifications:

Education/Certification:

Required: High school diploma, GED, or recognized equivalent

Preferred: College coursework or degree,

Special Knowledge/Skills:

Proficient keyboarding skills

Effective organization, communication, and interpersonal skills

Ability to follow written instructions

Experience:

Minimum: One-year clerical experience in office setting

Major Responsibilities and Duties:

MAINTENANCE/TRANSPORTATION DEPARTMENT DUTIES

  1. Assist the department with:

·  Purchasing.

·  Quotes and Bids documentation.

·  Purchase Orders.

·  Mileage Reports.

·  Payroll Hours Worked.

·  Invoice Matching to POs.

·  Requisition Entry and Appropriate Codes.

·  Transportation Reports including TEA Route Report and Operations Report.

·  Utility Reports.

·  Scheduling.

·  Provide clerical assistance as needed.

·  Maintain confidentiality.

·  Other duties as assigned.

ATHLETIC DEPARTMENT DUTIES

2. Assist the department with:

·  Verifying Deposits.

·  Track Deposits from each game.

·  Verify Gate Reports.

·  Assist with Invoice Matching.

·  Verify Student and Coach Meals and Travel.

·  Provide clerical assistance as needed.

·  Maintain confidentiality.

·  Other duties as assigned.

BUSINESS OFFICE DUTIES

3. Assist the department with:

·  Data Input on Deposits.

·  Reconciliation of Deposits.

·  Report preparation.

·  Data Entry as needed.

·  Clerical Assistance.

·  Participate in Lunch Coverage.

·  Paryoll support.

·  Accounts payable support.

·  Other duties as assigned.

RECEPTION AND PHONES

·  Greet and direct district visitors; refer appropriate inquiries or problems to departments.

·  Other duties as assigned.

Supervisory Responsibilities:

None.

Equipment Used:

Multi-line phone system, personal computer, printer, copier, and fax machine.

Working Conditions:

Mental Demands/Physical Demands/Environmental Factors:

Maintain emotional control under stress; work with frequent interruptions. Continuous sitting.
