Job Title: Centre Administrator
Salary:£22,000 - £24,000 (pro-rata)
Hours:28 hours per week Location:Oxford
Contract:Until 31/12/2012, subject to 6 month’s probation

Job Summary:To be responsible for the day to day administration work of the Fellowship of Reconciliation and for developing Peace House into a well-used centre.
General office duties
- To maintain the FoR membership and supporters database.
- To order and maintain stocks of office stationery
- To maintain stocks of publications and ensure orders are filled.
- To keep the FoR email list up-to-date
- To assist with the general duties of the FoR staff team, including the organising of education, training and fundraising events and Annual Council
Financial Administration
- To assist the FoR Finance Officer in the recording of donations, standing orders, Gift Aid and other income on the FoR database.
- To bank donations and other income as necessary
- To send out gift aid and standing order forms etc. as requested.
Venue Hire/Events management
- To promote hiring out of the Centre’s rooms and facilities to other organisations.
- To respond to all enquiries about venue hire, issue Booking Forms etc. and monitor payments.
- To meet potential clients, show them around the venue and discuss their requirements regarding room layout, catering, audio visual aids, PA system etc.
- To manage and service the event, engaging volunteer cover where necessary.
Building Management
- To work with Peace House Management Working Group to maintain both the fabric and the smooth running of Peace House
- To liaise with security/safety engineers regarding maintenance of security system, alarms and fire system
- To issue keys and monitor key-holders.
- To liaise with cleaning contractors and order materials.
- To ensure all office and venue equipment and telephone systems are in working order, liaising with engineers and maintenance contractors where necessary.
- To organise special refuse collections when necessary.
- To welcome visitors to the Centre and provide refreshments. To maintain stock of refreshments.
- To bin familiar with Health and Safety requirements and to keep necessary records.
Other duties and support
- To provide admin support to the Director when appropriate. To issue Trustees’ Meeting agendas and papers, take minutes at meetings and produce and circulate minutes..
- Undertake tasks as suggested by the Finance Officer and Director to ensure the smooth running of the organisation

- 1-2 years experience of office administration work
- Experience working within the voluntary/charity sector
- Experience of managing a building
Knowledge /
- Knowledge and experience of organising events
- An understanding of the Christian basis of peacemaking
- Understanding of basic finance systems

- Ability to use a range of computer software packages
