Introduction

The ASM International Ambassador Program is an invaluable component of the Society’s plan to develop stronger and more effective ties with the international microbiological community. As Ambassadors, you enable ASM to better serve our international members, as well as the broader microbiological community while promoting the Society’s values and services around the world. The Ambassador’s main responsibilities include:

1)Promote and explain the benefits of membership in ASM.

2)Develop and maintain relationships with key institutions and organizations in the region.

3)Identify and respond to the needs of the local microbiological community.

4)Participate in a community of Ambassadors to share ideas and experiences.

Purpose

The Annual Activity Plan is an important tool that enables the Ambassador to develop his/her plans for the near future and share them with colleagues and ASM staff. The Activity Plan is an opportunity for the Ambassador to consider the objectives for the year and think about ways on how to achieve them as well as how to measure their achievements. This process is intended to assist the Ambassadors In assessing the effectiveness of their efforts and developing Midterm and Annual Reports.

Submission

The Ambassador Annual Activity Plan should be submitted by January 15thof each year for review and approval to the Chair of the International Membership Committee, Edmundo Calva and the Ambassador’s Caucus Chair. A finalized Activity Plan will be approved by February 15th.

Ambassador’s Activity Plan

The following format will assist you in developing your Activity Plan. Please take the time to carefully consider each of the following items listed below. These should be considered guidelines to help plan your activities for the year and you are not required toaddress all of the items. Use as much space as necessary.

A. Promote and explain the benefits of membership in ASM.

  1. Participate in meetings and conferences. Please list all ASM and regional meetings which you plan to attend this year, approximate dates, description of participation, and what do you expect to accomplish. For example, please specify if you plan to set up a table or a booth to distribute ASM materials, lead a scientific session, present on ASM, etc.
  1. Visit local Universities and Research Institutes. Please list below universities and organizations you have identified as important entities to contact and visit to promote ASM’s programs and services. Include when you anticipate making contact and what do you expect to accomplish.
  1. Develop an AmbassadorResourceCenter. Please let us know if you intend to develop an AmbassadorResourceCenter in your region (more information on the ResourceCenter could be found in the Ambassador handbook).
  1. Translate and print international ASM brochures. Please list the ASM brochures you plan to translate into local language and an estimate of how many you will print.
  1. Generate an email newsletter about ASM activities and programs to be distributed twice a year to local members. Please briefly indicate your intention and availability to generate such a newsletter as well as the timeframe for this action (if you are interested).
  1. Other activities that you plan for this year to achieve this objective, please list below:

B. Develop and maintain relationships with key institutions and organizations in the region.

1)Develop partnerships with local Microbiological Societies. Please list the scientific organizations with which you plan to establish relationships over the next year, including the type of partnership you would like to develop (formal or informal), timeframe and what you expect to accomplish.

2)Other activities that you plan for this year to achieve this objective, please list below:

C. Identify and respond to the needs of the local microbiological community.

  1. Organize local events such as ASM member forums, lectures, activity clubs, direct mailing, seminars and workshops to gather information on the local needs of the microbiology community. Please list any event that you plan to organize to identifythe needs and interests of your local community of scientists, such as students, professors and researchers. Including approximate dates, type, and size of the venue as well as what you hope to accomplish.

D. Participate in the ASM community to share ideas and experiences.

  1. Participate in the development and updating of the Ambassador webpage. Please briefly describe your interest and availability to provide information for the International Ambassador Webpage, such as regular updates on meetings/conferences in your region, workshops, new resources, etc.
  2. Prepare and submitbrief bimonthly as well as mid-term and final reports to ASM International Affairs staff. The information included in the reports will be incorporated in the International Affairs reports and shared with all Ambassadors.
  1. Apply for an Ambassador Project Fund.Please indicate your intention to apply for this competitive award to enable you to achieve some of your above mentioned objectives. Include also information about what type of activity you would like to propose well as approximate timeframe.
