AESOP for Employees

To Assist Employees in Understanding the AESOP System

General Rules

You are REQUIRED TO HAVE YOUR ABSENCE LOGGED INTO THE SYSTEM NO LATER THAN 1 ½ HOURS PRIOR TO YOUR START TIME. ON THE DAY OF THE ABSENCE or you are expected to report to work. Obviously, if you have an emergency, please call your school directly. You can key an absence the day, week, or month before if you are aware of the absence.

Any absence that is to be more than 5 consecutive days cannot be keyed by an employee. Please contact your school Principal to notify them of your situation and, if necessary, request a leave.

Employees who have internet access are ENCOURAGED to use the internet to log absences. TEACHERS - please leave notes to your substitute to indicate where lesson plans are, if there is to be a school event, or any other information the sub might need to know.

DO NOT leave personal information or information regarding individualstudents or subs on this field as it is viewable by every substitute in the district!

After your absence, please leave feedback regarding your sub. This provides HR with important information and may help prevent potential problems. The sub can see your feedback.

Substitutes may not be selected by employees. Employees may, via the website, select the substitutes they prefer and those subs will have the first opportunity to view the position, but no employee should attempt to contact or assign substitutes.

Any problems you have with a substitute should be directed to your school principal immediately so they may be reported to Human Resources and the matter investigated.

Approval Rules

The following absences require prior approval from the principal with the absence request being made in AESOP at least 3 BUSINESS DAYS in advance: Adoption, Annual Leave, Compensatory time, Personal Leave, Professional Leave, Jury Duty, Court Subpoena, or Sick Leave – other dependent. ABSENCES MUST BE APPROVED BEFORE YOU CAN TAKE THE DAY, IF YOU TAKE THE ABSENCE PRIOR TO APPROVAL, IT WILL BE A PERSONAL DAY WITH DOCKED PAY. You must check your AESOP website (or with your principal) to determine if your absence has been approved. See your school principal for more information.

Professional Leave, Jury Duty or Court Subpoena absences require that the employee submit proof of the absence prior to approval. Professional leave will require proof of registration and attendance, Jury Duty requires proof of the summons and a Court Subpoena requires proof of the subpoena. All documents must be presented to the principal before the absence can be approved.

Professional Leave must have a note in the blue administrative notes field of what the leave is for (the name of the conference or what the training will be regarding).
