Westfield Estates Phase II Board of Trustees Meeting Minutes
September 4, 2014
- Call to order: The meeting was called to order at 7:00 PM, board members present:
- Mike Southerd (President)
- Brenda Ory (Treasurer)
- Tony Daly (Secretary)
- The President’s report and status
- Minutes from annual approved (June 24, 2014 minutes)
- Vote for officers positions–The Board unanimously voted to extend the officer’s positions for another year.
- HOA dues outstanding (update):
I. Lot 311 - delinquent dues are current, to include late fees –Account closed
II. Lot 327 - delinquent dues are current –Account closed
III. Lot 329 - No changes. Homeowners are making payments.
IV. Lot 337 –Account still in collections - The home is up for sale.
- Street lights poles (paint peeling): The Board will re-evaluate bids for repainting in the spring of 2015.
- Mail box stands (paint peeling):
- Contacted post office about the condition of the mailbox stands. Postal service will not repair the peeling paint. It will be up to the HOA to decide if we should pursue any effort to repaint the stands
- Sidewalks are lifting and creating a safety hazard:
- The Board president visited the Layton city engineer's office and requested that his office investigate the condition of the sidewalks in the neighborhood. The engineer paid a visit, but asked the Board to give a list of house numbers to include specifics in the common area. Layton City will add the discrepancies to their list of priorities. Please see attached letter from city engineer (last page).
- Street cracks:
- The Board requested the city put down chip sealant/tar in the street cracks. The City will address the issue in the spring. Follow-up will be necessary.
- Landscaping/Common areas:
- The concern with the number of prunings in the common area was addressed.The Board treasurer stated the funds are available for two prunings. Recommendation from the Board was to have two prunings performed, the added cost will be $500.The Board will have it added to the next landscaping request for proposal in the spring of 2015.
- Mulch will be delivered next spring after Ben Lomond completes the spring cleanup and pruning. Cost for mulch will be $1,501.36. Spreading effort is still to be determined.
