Introduction

In order for software products to be able to transmit production data to the ELS gateways, each financial year they must request a new software number. This is initiated by lodging cases for the forms they wish to be registered for, from the crosscheck cases provided.

The crosscheck process is used to check your softwares’ abilities to create and lodge return form(s) to the ELS gateway. It is not an approval process for a software package. It is a verification that a software package can lodge successfully to the gateway.

A scenario is made up of either an individual or a non-individual ‘client’ and all of the form(s) that person or entity has been linked to.

This document is an overview of all of the crosscheck cases. The following can be identified in thisdocument;

Crosscheck cases(Form ** - 2012)

2012 has 37 crosscheck cases for 25 form types. Each form type has a zip file named the same as the example above in brackets, the ** represents the form type.In each zip file is a word document detailing all crosscheck cases for that form type as well as a PDF representation of each crosscheck case.

Crosscheck cases must be sent to test gateway G2 (address below). This will trigger the crosscheck report.

Crosscheck Cases

You are required to lodge the crosscheck cases that you wish your product to be registered for. It is expected that if you request registration for a particular form, then your software must have the ability to produce all valid schedules for that form. The only exception to this rule is if you have made prior arrangements with the Tax Office.

There maybe situations where you will not be able to enter the data that ELS Takeon has provided.This will not jeopardise your product’s registration. In these cases you must advise ELS Takeon of the reason why the data could not be transmitted. ELS Takeonare only interested in amount differences not text items.

The table below outlines some of these differences with a correlating reference number. Where possible, you can notify ELS Takeon of this reference number with your cross check validation reports, instead of providing a lengthy explanation.

Reference / Description
CC1 / Difference in calculations due to rounding of amounts.
CC2 / System auto populating tags that are not expected from the cross check data
CC3 / System auto generating schedules due to the cross check data.

Crosscheck Report

For each transmission containing a Cross check case a validation report will be produced as usual, however a crosscheck report will appear at the end of the validation report. This report is triggered by the test Tax File Number used in the valid test case. The report verifies that the correct data was transmitted by comparing your transmission to a copy of the data stored on the test gateway. Crosscheck errors are only triggeredon the test gateway and are not part of the production system.

The exception to this is Cross check cases for forms CP, MC and RR. These cases will not produce a crosscheck report as the data in these cases does not contain a TFN. For these cases, the registration is to include the standard validation report.

NOTE: A crosscheck report containing no errors is not essential. It is possible that your package may contain more precise details and calculations, or you may make a minor keying error. However you must be able to substantiate any errors.

Format of Data

Crosscheck case data supplied in word documents is in a format known as PPF’s (as it is the preferred printable format from ELS Takeon’s test return development application).

ELS Takeon have also included the data on PDF return forms, providing a user friendly view of the tags and data to be entered for each case.

Some tips for using the PDF crosscheck data documents:

  • Tags on the PDF are coloured to convey which are mandatory, and which arenot.

For example:

  • If there is no data present in a field a tag will not be shown, except.
  • If a 'null' is required,or
  • If part of an associated group.
  • If there is no data present for an entire page of a return, a watermark message is on the page informing you so.
  • Where there would have been blank pages for partners or beneficiaries, the excess pages have been removed from the PDF document.

It is up to the Software Producers’ discretion which documents they choose to utilise for their crosscheck testing. However, it should be noted that some additional form specific information has been provided in the word documents.

ELS Reports

ELS Takeon will make available any reports that are valid to be downloaded via ELS.

Declarations

ELS Takeonrequires all SWP to provide a copy of the 2012 declaration for the particular return form being registered. Where the declaration is not received, registration of the form may be suspended.

Information on these declarations can be obtained from the A05_dec.doc document, which is distributed with each ELS Takeon release. Please see appendix A (below) for an overview of forms requiring declarations.

Amendments

Where a SWP is requesting a registration for a form that can be amended, the amendment crosscheck case must also be lodged. Where the amendment is not lodged, registration for the form type may be suspended.

Please ensure you clearly identify the validation report for the amendment return to assist us in actioning your registration.

Software Registration

What needs to be sent to ELS

When you have completed testing and are ready for your lodgement to be checked for registration, an e-mail is to be created with the following attachments:

1)Crosscheck Report (with explanation of differences, if needed) and

2)Tag files (data files transmitted to the gateway)

3)Copy of the 2012 declaration, if applicable to the return form you are registering for.

Please ensure this subject naming convention is used, it will assist us to action your registrations promptly.

ELS Takeon will reply to your e-mail confirming your registration. You will also receive a copy of your software registration profile for 2012.
