Lawn Vendor Regulations
- The Vinton Wine & Food Festival will take place on the front lawn of The Vinton War Memorial, which is located at 814 E. Washington Ave, Vinton, VA 24179, on Saturday, May 21, 2016 from 1pm-6pm, rain or shine.
- All vendors are expected to stay for all five (5) hours of the event and must man their tables at all times during the event. Tables may be set up as early as 10:00am the day of the event and must be completely set up no later than 12:30pm. Prior to the day of the event, The Vinton Wine & Food Festival committee will notify you where your table area is located. No vehicles are allowed on grounds of The Vinton War Memorial.
- There are a limited number of vendors accepted for the event so please return your application and payment as soon as possible. Checks should be made payable to the Vinton Area Chamber of Commerceand mailed with the completed application to the Chamber office. We also accept MasterCard and Visa. Feel free to call the office to make payment on a credit card. Space is limited.
- No vendor may sublet space to another exhibitor.
- Vendors are expected to furnish their own tables and chairs, display racks and any other items required to promote their business. Vendors are responsible for bringing any items to protect them from the weather, if they deem it necessary. The Vinton Area Chamber of Commerce is furnishing a limited number of spacesunder the main tent(s). There will also be a limited number of vendors allowed to bring their own tents to set up on the lawn. There are limited spaces available for vendors, both under the main tent and on the lawn; participation is approved on a first come, first serve.
- Vendors, bringing their own tent, will be restricted to bringing a 10X10 size white tent. Vendors will be responsible for setting up and breaking down their tent.
- Vendors are responsible for cleaning their individual space during the event and after the event. Each vendor is responsible for keeping the area in and around their table neat and free from trash. All trash must be bagged and brought to the indicated trash areas.
- Each vendor is required to have insurance at the time of application covering participation in the event and all necessary licenses, including health department licenses if necessary.
- Vendors may use signs advertising their business as long as signs do not exceed 10 feet. No signage or promotion may reflect the logos of alcoholic beverages other than wines/beers tasted and sold at The Vinton Wine & Food Festival. No items may be displayed that are not approved for sale at the event. Electricity is not available nor can it be made available.
- Security guards will be provided for the perimeter; however, the Vinton Area Chamber of Commerce and The Vinton Wine & Food Festival are not responsible for loss of inventory or damage to work or other property of vendors and/or participants.
- Absolutely no one under the age of 21 is permitted in the festival, this includes infants. Pets are not allowed on the festival grounds.
- No alcoholic beverages other than those purchased and sold at the festival are permitted. Only the wineries and the breweries are able to sell alcoholic beverages at the festival. Any item displaying profanity or discriminatory symbols, words, etc. is strictly prohibited.
- Vendor employees or contract associates of any kind participating in the event must have appropriate identification to show as evidence of legal age at the entrance for admittance. If they do not have proper identification they will be denied admittance. No one under the age of 21 will be allowed in the festival unless he/she is an employee and working the event.
- Vendors are responsible for the collection of Virginia state sales tax and maintenance of appropriate documentation for state inspection.
- Vendor employees/ contract associates who do NOT plan to participate at all in the tastings are admitted free of charge and will receive non-taster wristbands. Vendors may purchase up to six (6) Vinton Wine & Food Festival tickets at a special rate of $10.00 each for their employees/ contract associates who would like to participate after their “shift” working and will be given taster wristbands. Vendor discount tickets MUST be purchased when submitting application. Vendor discount tickets are ONLY available through the application purchase. Tickets will be mailed directly to the vendor contact at address noted on application and glasses will be picked up at the entrance.
- There will be NO REFUNDS made for spaces once you have been accepted as a participant in The Vinton Wine & Food Festival.
- Should the Vinton Area Chamber of Commerce cancel The Vinton Wine & Food Festival for any reason, this agreement shall be null and void of the date of said cancellation. The vendor and the Vinton Area Chamber of Commerce shall release each otherfrom any and all further obligations whatsoever. No refund shall be due to vendor should event have to be cancelled by the Vinton Area Chamber of Commerce because of events beyond their control, such as, but not limited to, inclement weather, floods, riots, civil disobedience, acts of governmental bodies and the like.
- Upon execution of this agreement and as a part of the consideration hereof, vendor agrees to indemnify and hold the Vinton Area Chamber of Commerce, and all of the Vinton Area Chamber of Commerce officers, directors, sponsors, employees, and agents, harmless from any and all debts accounts, suits, cause of actions, proceedings, claims, liabilities, demands and judgments, which may include, but are not limited to all costs, expenses, damages and attorney’s fees, arising out of , by reason of, or in connections with any act or failure to act by vendor’s agents, invites, employees, representatives in the activities reflected by this agreement, in connection with the failure of any apparatus, equipment or personal property used by the vendor in the activities contemplated by the agreement, or in connection with vendor participation in The Vinton Wine & Food Festival.
- The vendor agrees to provide, with their application, a certificate of commercial general liability including product and complete operations insurance covering participation in the event.
- This agreement contains the entire understanding of the parties with respect to the matters contained herein. The agreement may not be modified, except by the written permission of both parties. This agreement supersedes all prior communications or agreements, whether written or oral, relating The Vinton Wine & Food Festival.
- Any problems encountered with festival attendees should be immediately reported to the festival management.
- All restaurant vendorsparticipating in the Vinton Wine & Food Festival must be on Restaurant Row. Per Fire Marshall Regulations you may NOT cook within 20 feet of ANY tent.
