Standards of Progress – “Warning” Session Faculty Guide

1. Check Student’s WebAdvisor Record for the following:

  1. Click on WebEmployee (WebAdvisor)
  2. Log in
  3. Click on Faculty
  4. Select Student Educational Planning
  5. Enter student’s id number and choose “student transcript” from drop down menu

·  Check Transcripts for I, W, D or F and repeated courses. Take note of these courses. Return to main menu

·  Locate term GPA (faculty cannot view or access term GPA in WebAdvisor; only students can view term GPA)

o  Student will need to log into their My College account

o  Click Grade Point Average by Term

o  Choose Term

o  View term GPA

  1. To locate academic standing

·  From Faculty main menu

·  Click on Student Profile

·  Scroll to the middle of the screen and locate the Academic Standing box

2. Explore reason(s) for low GPA.

Ask the student questions such as:

“What happened?”

“Were you working full-time during this semester?”

“Did you have a family emergency, childcare issues, or other medical problems?”

“Did you have dual enrollment?”

“Was this an isolated incident?”

3. Advise student of Standards of Progress and consequences

Emphasize what can happen as it relates if student moves to probation or suspension stages (i.e. financial aid, registration restrictions). www.cpcc.edu/ican/sap

4. Review student test scores.

  1. Choose from drop down menu “Test Summary”

·  Does student have test scores? If not, refer student for placement tests and Accuplacer study guide

·  If test scores are available, use the Link to Placement Test Cut scores to check for required developmental courses. If student requires developmental courses recommend them to the student.

5. Discuss with the student (if situation appropriate):

·  College Success Courses – ACA111, ACA118, ACA120

·  College Time Calculator (from ACA111)

·  Academic Learning Center www.cpcc.edu/alc

·  P-CAP www.cpcc.edu/ican/counseling/pcap

·  TRiO www.cpcc.edu/triosss

·  Family Resource Center www.cpcc.edu/student_life/frc

·  Counseling/Advising Workshops

6. If needed, complete contract for student. This is optional for the warning stage.

·  Give a copy of the contract to the student, retain a copy on file.

7. End course block/enable student to register

  1. From Faculty main menu
  2. Click student blocks and overrides
  3. Enter Student’s ID
  4. Choose View and Assign Blocks from the pull down menu and submit
  5. Check the Modify box beside the Academic Level Block and submit
  6. The Start Date will auto-fill, if the start date of the Academic Level Block has not been reached yet, enter the same date in the End Date field. This will in effect cancel the block.
  7. If the start date of the Academic Level Block has already passed, enter the end date as one day prior to the current date. In other words, if the Academic Level Block is currently active, enter yesterday’s date as the end date. This will cancel the block.
  8. Check the box for the term (if not prefilled)
  9. Check the box for the Academic Level (if not prefilled)
  10. Click submit. You will be returned to the Faculty Menu.
  11. To verify your action repeat steps A – D and view the Start Date and End Date for the Academic Level Block.

8. Enter session notes into OSP

A.  Log in to the OSP from WebAdvisor by clicking on Online Student Profile Tools

B.  Enter CPCC login and password

C.  Click on Find Profile

D.  Enter the search criteria to find the student in question

E.  Click "notes" for the appropriate student in the search results

F.  Optionally, review previous notes

G.  Click "log visit with this student" at the top

H.  Enter the information

I.  Submit the form at the end of the visit revised 9/3/09
