Using WebAdvisor Rosters to Create E-mail Recipient Lists
1. After logging in to WebAdvisor and choosing the Faculty option, click on Class Roster
2. Enter the term (or leave blank for all terms), then choose the class roster.
3. Go to the section with the student listing, and place your cursor to the left of the S in the column heading "Student".
4. Click and drag your cursor to the bottom right corner of the roster to select it.
5. At the main menu, choose Edit→Copy(or Ctrl+C) to copy the selected area
6. Launch Excel and open a blank workbook.
7. Click in cell A1 of the new workbook.
8. Paste your selection by right-clicking then choosing Paste, or clicking Edit/Paste from the menu. Your screen will appear like this.
9. Click the clipboard icon that appears on the lower right-hand corner of the pasted cells.
10. Choose 'Match Destination Formatting' from the clipboard shortcut menu.
Your Excel spreadsheet will now appear similar to the sample below.
11. Highlight the first three rows of your Excel spreadsheet and then click on
Edit->Delete to remove the text.
12. Select (highlight) the entire column containing student email addresses by placing your cursor in the heading of that column and click once.
13. Next copy the contents of this column by clicking on Edit→Copy (or CTRL+C).
14. Go to Outlook and open a new mail message. When the New Message window opens, click on Options, and click on Bcc… (Blind Carbon Copy) to add this to the header of your email messages.
15. Now place your cursor in the Bcc… box, then click on Edit→Paste (or hit CTRL+V)
The email addresses for every student in the course section will be pasted in the Bcc… line of your email. Continue as usual to compose the email message.
16. You may email students from more than one section by repeating these steps for each section, copying and pasting to Excel, copying and pasting from Excel into the email message Bcc… box as outlined above.
*Alternate method: Copy and paste the roster to a Word document. This creates a table in Word; select the email address column in the table, then copy and paste in the Outlook Bcc box as above.
