OUTCOMES & COMPLIANCE COORDINATOR

Accountable To:
The Outcomes & Compliance Coordinator is directly accountable to the Director of Branch Operations.
Accountability Summary:
The Outcomes & Compliance Coordinator is appointed by the Director of Branch Operationsand is responsible to him/her directly. He/she is accountable for the tracking and reporting of most grants, contracts, letters of agreement, memorandums of understanding, etc. for the organization. It is the responsibility of the Outcomes & Compliance Coordinator to work alongside branch and school-based leadership to ensure compliance with grant requirements as well as successful attainment of grant outputs, outcomes, and other target measures.
Specific Duties:
  1. Coordinates with Program Directors to track, collect, and compile data associated with programmatic outputs and outcomes as required by internal metrics and external grant requirements.

  1. Coordinates requirements and deadlines set forth by letters of agreement, grants, contracts, etc. across applicable branches and programs.

  1. Generates and submits monthly, quarterly, and annual reports as needed to funders and partners.

  1. Acts as principal liaison between funders and BGCSA for all output and outcome data.

  1. Manages the collection and compilation of Branch Reports

  1. Acts as lead database administrator for the YES system including spearheading any updates, revisions, and staff training needs for database usage.

  1. Creates, updates, and manages organizational forms, spreadsheets, and reports associated with compliance and tracking.

  1. Reviews and audits Tracking Folders to ensure compliance with requirements set forth by United Way, other funders, and internal program priorities.

  1. Coordinates with the Program & Training Coordinator to establish and ensure compliance with agency wide program calendars based on grant requirements and internal program priorities and strategies.

  1. Responsible for reviewing new and renewed grant requirements with Program Directors and Program & Training Coordinator.

  1. Completes other duties as assigned.

Requirements:
  • Bachelor’s Degree or some college plus 2 years of management in a youth development program.

  • A minimum of two years’ experience with grant outputs and outcomes data management and reporting.

  • Knowledge of Excel spreadsheets and database maintenance.

  • Knowledge of Boys & Girls Clubs curricula, club programs/operations, and best practices in working with youth in out-of-school time settings a plus.

  • Must uphold the policies and procedures of the Boys & Girls Clubs of San Antonio.
  • Possess record keeping skills.
  • Possess skills for communicating clearly and knowledgeably.

  • Must possess the energy, initiative and ability to achieve results within required time frames.

  • Must support the organization mission, vision, values and goals.

  • Must have a Class C Motor Vehicle License or equivalent, and an acceptable driving record.
  • Well-developed data management skills including working with Excel worksheets and database systems.
  • Relationship-oriented to build strong professional ties with employees across the organization and foster a culture of teamwork.

  • Well-developed written and verbal communication skills.
  • Fosters a climate of innovation.
  • Builds supportive relationships with Program Directors and additional staff to ensure compliance with mandated output and outcome measures.
  • Builds successful systems to obtain stated outcomes, and tools to measure success.
  • Must possess the ability and aptitude to make decisions and meet commitments within established policies and time frames.
  • Must possess ability to function objectively and fairly.

Physical Requirements/Work Environment
Must be able to safely lift 20 lbs. Must be able to work in an office atmosphere as well as all areas of branch facility, and outdoor environments.
