Job Title:International Office Receptionist

Salary:£14,767-£16,017per annumpro rata depending on skills and experience. Salary progression beyond this scale is subject to performance.

Contract Status:This is a part-time, maternity cover post until September 2016

Hours of Work:21hours per week, Monday to Wednesday

Location:International Office, Jubilee Campus

Reporting to:International Student Adviser/Office Manager

Purpose of the New Role:

We are looking for an enthusiasticand friendly individual to join the International Office as a Receptionist for a busy office. We have a receptionist who works Thursdays and Fridays and we are looking for someone to cover Monday-Wednesday. The International Office is responsible for providing support for International and EU students both before and after they arrive at the University in order to ensure that their experience at Nottingham is as positive and enjoyable as possible, and to help all enquirers both from within and outside the University with their queries.

Main Responsibilities / % time per year
1. / To provide a professional, friendly and efficient front-line reception service for students, staff, parents and visitors who come into the International Office. / 50%
2. / To respond to telephone and email enquiries from current students, staff, academic visitors and external contacts ensuring that a professional and high quality service is provided and that University service level standards regarding response times and are maintained. / 20%
3. / To be the first point of response for the International Office generic enquiry inbox. / 20%
4. / To ensure the Reception area is kept tidy, stocks of literature are maintained and that mail is received and redistributed appropriately. / 5%
5. / To work with other colleagues in the International Office as and when necessary to ensure office functions during peak periods are met. / 5%

Knowledge, Skills, Qualifications & Experience

Essential / Desirable
Qualifications/ Education /
  • 5 GCSEs at Grade C or above or equivalent / Good general education

Skills/Training /
  • Good knowledge of Microsoft Office products in particular Outlook and Word
  • High standard of verbal and written communication skills

Experience /
  • Significant experience in a busy office involving front of house/customer service work
  • Previous experience in a cross cultural environment

  • Experience of working in Higher Education
  • Previous experience of working with students

Decision Making

i)Taken independently by the role holder

Plan and organise own workload.
Answer and mark up emails for the International Office inbox emails
Keep the reception tidy and well stocked

ii)Taken in collaboration with others

Queries regarding emails or any queries regarding assistance from Student Advisers or other members of staff

iii)Referred to the appropriate line manager by the role holder

Any problems with workload.

Additional Information

The International Office provides a holistic support service for the University’s internationalisation strategy.
Staff in the International Office work as a team and are expected to have some knowledge of one another’s roles.
The successful candidate will also need to develop a good general knowledge of the University and its procedures in order to be able to deal with enquiries effectively. We are looking for a colleague who will be able to learn quickly and be prepared to update their own information of how the Office works to enable them to give a better services to both their colleagues within the office, the University and to all outside callers.
