PURPOSE OF THE POST:

Under the direct supervision of the Supply Officer, manages the day-to-day reception and dispatching of UNICEF supplies in Warehouse including proper management of WH SAP module and support UNICEF with logistic services and customs clearance procedures.

KEY ACCOUNTABILITIES and DUTIES & TASKS

1. Liaise with Supply & Logistics Assistant and suppliers or transporters on timing of receipts or dispatching of the supplies. Assess availability of space and plan stacking/palletization prior to arrival/receipt optimizing usage of the available capacity and resources and timely turnover of supplies;

2. Arrange and lead crew of casual labor workers for unloading/loading of trucks. Supervise kits packing, palletization of the packed boxes and consolidation of shipments for in country distribution. Supervise the ancillaries in the UNICEF warehouse.

3. Receive and release supplies based on received authorizing documentation. Verify quantities and quality (including packing) according to goods receipt document, packing lists, waybills, pre-delivery inspection reports or purchase orders and report discrepancies if any.

4. Ensure that all stored materials are clearly marked with stock bins with PO/SO references and quantities per pallet/section & stored in a safe & appropriate manner. Ensure easy movement, ventilation, maintenance and systematic arrangement of stock.

5. Monitor the quantity and quality of the stored supplies and report on irregularities, if any, in relation to storage, receipt or dispatch & security of the warehouse.

6. Maintain records and ensure appropriate filing for all documentation related to movements in and out as well as monthly warehouse stocktaking reports.

7. Perform monthly physical inventory checks, provide monthly stock reports and data on receipts/releases, and immediately report on any variance with VISION records. Assist in regular/random physical stock taking in the warehouse.

8. Manage WH Module in ERP System (VISION) namely: Receive and Put Away, Pick Items for Release Orders and issue respective Waybills; Ensure VISION records continuously updated to reflect the actual status.

9. In coordination with the supervisor, handle administrative issues related to safety and maintenance of the warehouse. Liaise with the WH management on organizational issues, agreements signatures, etc. Maintain and suggest improvements of the current security systems to ensure the highest possible level of security; Arrange cleaning of the warehouse.

10. Perform any other logistics task as requested by the supervisor

QUALIFICATION and COMPETENCIES

Education: Completion of secondary education, preferably supplemented by technical or university courses related to the work of the organization.

Work experience: Minimum five years of work experience in warehousing or logistics. Familiarity with UN or International Organization logistics procedures and systems is an asset.

Language Proficiency: Fluency of the local language of the duty station and working knowledge of English.
