Summer Programs Manager

Position

The Summer Programs Manager (PM)will report to the Teton Valley FoundationExecutive Director (ED) and is responsible for planning, execution, and event managementof our primary summer event, Music on Main (MoM). MoM is aseven week free, all-ages concert series in Victor City Park in Teton Valley, Idaho. 3-4000 people per week attend the concerts, along with food vendors, beer concessionaires, volunteers, and multiple bands. The PM role is a seasonal, 12 – 14 week position that will start in mid-late May and end by late August. The hours will fluctuate between 20-40 hours a week but not to exceed 420 total hours for the season. The application due date is Friday, May 9.

Responsibilities

Pre & Post Season:

  • In May and June, the PM will assist the ED in preparations for a full summer of MoM. Tasks include but are not limited to inventory and ordering of supplies, coordinating with vendors, facilitating band logistics & hospitality needs, helping with volunteer recruitment & scheduling, confirming permits, support with advertising, etc.
  • At the end of the season, the PM will be responsible for inventorying all of the MoM equipment and storing it for the season. The PM will provide a season summary to the ED about successes and challenges from the summer in an effort to make improvements for future years.
Event Execution
  • The PM will organize and manage event set-up and take-down with the help of volunteers, coordinators and the ED on Thursdays. This can make for a 12+ hour day.
  • During the event the PM will be the primary point person for operations. This may include but is not limited to liaising with bands, hired staff, vendors, beer concessionaires, volunteers, and other logistical support such as recycling, sanitation, etc. It may also include managing and organizing an influx of funds from the event’s cash transactions.

Leadership and Management:

  • The PM will be responsible for direct supervision of 4-5 Event Coordinators (EC’s) during each Music on Main concert. The EC’s are paid on a per-night basis to oversee specific departments during the actual event such as concessions, entry, set-up, take-down, etc. Each EC is responsible for 5 – 10 volunteers per night. Ultimately overall operations will be under the purview of the PM; thus it will be his or her role to support the EC’s toensure smooth event execution.
  • The PM will be responsible for overall volunteer management and scheduling during the summer and communicate directly with the ED regarding any gaps in volunteer needs.
Communication and Teamwork
  • Ability to give direct but respectful feedback to the ED if the PM has any concerns about Music on Main itself or with their working relationship. If the PM is struggling to resolve any issues with an EC, vendor or volunteer, the PM should communicate concerns to the ED so she can help seek a resolution.
  • A willingness to do what needs to be done and to be a team player. Some days that may mean picking up trash, other days that may be driving to Idaho Falls to pick up a late band member.
  • The PM will need to excel at collaboration with other team members and demonstrate the ability to work with a variety of personalities.
  • The PM needs to be highly adaptable and possess a willingness to work in ambiguous situations with many balls in the air at once. This is a new position and therefore the specificelements of the job will morph throughout the summer as we designate job responsibilities. Open and clear communication will be paramount as the PM and ED work together to figure out the most appropriate delineation of roles.
