IMPORTANT: TalkwithIlseinGuatemala aboutthecurrentstatusof bringingmedicinesintothecountrybeforeyou bringsupplies.

Onceyourteamhaspickeduptheirluggage, gothroughthegreen“NothingtoDeclare” line. Sendyourteammembersthroughfirst. Taking Items to Guatemala that are for the Ministry

Many times, the ministry will request for you to bring items such as batteries, vitamins, ink cartridges, etc. to Guatemala. If your team has the extra funds to do this, then great! Make sure you keep your receipt to show the customs in Guatemala if your luggage happens to be searched.

Here is the general rule. Every person entering the country is allowed to bring in their personal items, plus up to $500 in items that are exempt from import taxes. Here is what you should do:

1. Make sure that those who are bringing items into the country have individual receipts that do not total more than $500.

2. Answer the questions accurately on the customs form (you will receive one while on the plane).

AdditionalOfferings

Yourteamwillpayadailyfeetothetranslatorswhogooutwithyoutothevillages. Sometimes teammemberswanttoleaveanextraofferingwiththetranslatorsorwiththe Ministrystaff.Pleasedo notdo this.

SupportRaising

Eachteammemberisresponsibleforraisingallofhisorhersupportforthetrip. We estimatethatthecostperpersonwillbe$1,700 to $1,900. Thisamountwillvarybasedonthecost ofyourairlineticketandwhereyourteamtravelstoinGuatemala.

Thebreakdownof thisamountisasfollows:

Airfare $750 - $1,000 (dependingon whenyou go)

MinistryCharge $500

Ground Expenses $300-$400

Theministrycharge of$500isafixedexpense thatneedstobepaidforeachpersonon yourteam. This$500goestowardssupporting theassetsoftheministry, including the salaries of our staff. Italso covers maintenanceand upkeepof theministrycenterwhere youwillbestayingandthe purchaseandmaintenanceoftheministryvehicles. Theministryvehiclestakeabeating ontheroadsinGuatemala andwiththirtyplusteamscominginagivenyear,itisvery expensivetokeeptheminsafeandgoodconditionforyourteam. Attachedtothisguideisaformforsubmittingthe$500perpersonministrycharge—for new churches in 2017 and for all churches beginning in 2018, please see below for changes to this policy. Thisamountmustbe submitted2 weekspriorto yourteamleavingforGuatemala.

Otherthantheairfare,thegroundexpensesareavariable number. Theywillvary dependingonhowfaryoutravelinthecountry(i.e.gas)andhowmanymealsyoueat out. Typicalexpensesincludedinthisamountaregas,foodpurchasedinGuatemala, translators,supplies,andacelebrationdinnerattheendofthetripforeveryone, etc. (Remember, youarenotonlyfeedingyour team,youarealsofeedingthestaffand translatorswhoareworkingwithyou.) Ifyourteamistightonfunds,pizzacanbe orderedanddeliveredtotheministrycenterfor your team’scelebrationdinner.

Withregardstoanyteammoneythatisleftover,under nocircumstance shouldyou leaveanyleftoverteammoneyinGuatemala. Ifyourteamhasmoneyleftoverfrom thetripandyouwanttodonateittotheministry youshouldbringitbackwithyoutothe U.S.andsendittoMedicalMissionsMinistries,at:MedicalMissionsMinistries,9500MedlockBridgeRoad,Duluth,GA30097. 100%ofthefundsyousendwillbeused exclusivelyforMedicalMissionsMinistries. Dependingonyourchurch,youmayhave otherpoliciesforthatmoney,butpleasedonotleaveitinGuatemalafortheministry. Thisisveryimportant forustokeepupwithouraccounting,tominimize thetemptation ofdependency,andforustostayaccountabletooursupportersundertheguidelinesof theEvangelicalFellowshipof MissionsAgencies.

Expensesto bePaidbyYourTeamWhileinGuatemala

TeamTreasurer

Itisimportant tohaveateamtreasurerwhowillkeepupwithallofthemoneyand receiptsandtogiveyourchurch afinalaccountingattheendofthetrip. Wesuggest that theteamtreasurerbesomeone different thantheteamleader,andthathe/shebringa calculatoralongon thetrip.

Hermannwillchangeyour moneyintolocalcurrencyasneeded. A portion of your team money should be wired down directly to the bank in Guatemala. Typically 70% of your allotted spending money. MMM is no longer able to accept large amounts of American money on a weekly basis. Please contact Wendyat or banking information to have the funds wired down in advance of your team’s arrival.

For example, a team of 10 should plan to spend $3,000 - $4,000 for the week. Please bring large denomination bills that are new, clean and in good condition. Asampleaccountingspreadsheetisattachedtousewhenexchangingmoneyor storingfundsinthesafe. Thecurrentexchangerateisapproximately Q7.25=$1.00(as of04.01.2017). HermannwillkeeptrackofthespreadsheetandgooveritwiththeTeam Treasurerattheendof theweek.

WhenyouarriveinGuatemala, Hermannwillhavealreadyincurredsomepre-trip expenseson your behalf.Itemssuchasgroceries,parkingfeesattheairport,lunchon the firstday,etc. willbedetailedonaspreadsheetforyou(sampleAccountingSpreadsheetis attached.TeamAccountants arestronglyencouragedtoreviewthissamplebefore departingtoGuatemala).

Pharmacy

Oneofthestationsduringeachclinic isthepharmacy. Youdonotneedtoworryabout training yourteaminthisareaastheywillbetrained “onthejob”whentheygetto Guatemala.

Packing

Attached tothisguide youwillfindapackinglistforyoutosharewithyourteam members. Justafewthingstokeepinmindregarding packing--eachpersonwith a Delta Credit Card from American Expressisallowed ONEchecked bagweighing50lbs.andonecarry-on bag. Thisisa NEWBAGGAGEPOLICYFOR DELTA. Ifsomeoneonyourteamis aDeltaMedallion Memberthenyoucangetotherreservations“linked” totheirsandarethenallowedto check 2bags,weighing 70poundseach, perperson,forupto8people. These arrangementsshouldbemadewhenmakingyourreservationsandcannotbedone atcheckinattheairport. “Normal” passengers will have to pay $25 per checked bag (50 lb. limit) to Guatemala. Weencourageyoutosaveonecheckedspotperteam memberformedicinesand suppliesyoumaybeaskedto bringwith you. Onceyougetto Guatemala youwillleaveyourbigcheckedbagsattheministrycenter,buteachperson willneedtobringasmallbagorbackpacktotakeoneortwodays’worthofclothesfor anyovernighttripsyou mighttakeoutof GuatemalaCity.

Donotbringanythingthatwouldupsetyouifitwaslostorruined. Exceptfortheone touristday,youneedtodressaccordingtothecultureinwhichyouwillbeministering.

Thismeansmenshouldnotwearshortsandwomenneedtowearankle-length dresses or skirts(seemoredetailson theattachedPackingList).

Sinceallofthecostsofthetrip(including drinksandsnacks)arecoveredbythemoney youraise,theonlymoneyteammembersneedtobringisforthetouristdayiftheywant tobuysouvenirsorgiftsfortheirsupporters. $100willgoalongwayinthemarketin Guatemala,so thereisno needtobringalotof personalmoney.

HealthIssues

Immunizations–Theonlyimmunization werecommendforeachteammemberisthe HepatitisAvaccine. ThiswillprotectyoufromHepatitisthatcouldbecontractedfrom food. Thisvaccinationisatwoshotprocessandthefirstshotneedstobetakenat leastonemonthpriortodepartureinorderforittobeeffectiveonthetrip. The secondshot isthentakensixmonths laterto completethevaccinationprocess.

Malaria–WhilemalariadoesexistinsomepartsofGuatemala,itisnotpossibleto contractmalariainthemountainsorinGuatemala City. AskDietrichorHermann’s assistantbeforeyourtripifyourteamwillbeinamalarias region. Ifso,medication mustbestarted orally oneweekpriortodepartureandcontinuedforfourweeksafter you gethome. Ifyoutakethemalariamedication,youwillnotbeabletodonatebloodvia theRedCross for ninemonths.

YoushouldcheckwithyourhealthcenterordoctorregardinggettingtheHepatitisA immunizationandthemalariamedication. You mayhearyoushouldalso getthe HepatitisBvaccinationandtheTyphoidFevervaccination. Neitherisreallynecessary for aone-weekstayinGuatemala.

Water–Don’tdrinkthewater. Pleasemakesureyourteammatesunderstandthis,as thisisprobablyyouronlyrisk. Hermannwillbringbottledwaterthatissafetodrink. Also,rememberthaticeisfrozenwaterso becareful.

Food– Fromaculturalperspectiveyou willberequiredtoeatwhateverfood isservedto youinthevillages.Theywill be preparingtheirbestforyoutoeat. Hermannwill notlet youeatanythingthatwouldbequestionable. Asageneral rule,anythingyoueateither needstobecookedor peeled.

DailyLeaderDutieson theField

Astheteamleaderyouwillbethecoordinatorfortheresponsibilities ofyourteam.

Eachdayyouwilltravelsomewhereinthevehicles. Seethatyourteamsplitsupwith differentpeopleduringtheweekandthattheyhavetheopportunitytoridewithdifferent Guatemalansaswell.ThisisagreattimetogettolearnaboutthecultureinGuatemala.

Youalsoneedtorotatepeoplethroughthedifferentstationsaswell. Atatypicalclinic youwillhaveone ortwopeopleworkingwithchildren,one ortwopeopleworkinginthe pharmacyandtherestworkingincounselingstations. Recently,wehaveaddedprayer walking,whichinvolves takingatranslatorandthelocalpastor(oranelder)onawalk throughthevillagetoprayovertheareayourteamisministeringin. Havetwoorthree timesduringthedaywherepeople switchstationsandmakesureeveryone,includingthe team leader, getstoworkinallthree stationsduringtheweek. Ifyouhavemedical doctorsonyourteam,givethemtheopportunity tosharetheirfaithinoneofthe counselingstationsduringthisweek.

Non-FraternizationPolicy

Itisveryimportantfor your teamtoremainfocusedon ministryduringtheirweekin Guatemala.In ordertoalleviateanydistractionfromthis,romantic/flirtatious interactionwiththeoppositesexamong teammembersand/ortheteamin Guatemala,includingthetranslators,isnot allowedduringtheweekyourteamisin Guatemala.Thisisespeciallyimportantamongteamswithteenagers,butincludesall teammembers,bothmarriedandsingle.

Thiskindof romanticandflirtatiousinteractioncreatesadistractionfromministry,both for theoneparticipatinginit,aswellasfor therestof theteamwho observethiskindof behavior.Werecommendthateachteammember,includingthosewho aremarriedand single,signacovenantregardingtheircommitmenttonotengaginginthesetypesof relationships;bothinpreparationfor andduringthetrip(seeSampleTeamMember Covenantattached).

Wealsorecommendthatyou, asateamleader,go overthispolicywithyour teamin advanceof your trip.

Rolesand ResponsibilitiesforMedicalClinics

Eachteammember,includingtheteamleader,willneedtobeinarotationof workingat allfivestationsduringthemedicalclinics.Thefivestationsareasfollows:

Pharmacy– workingwiththeministrystafftofillandhandoutprescriptionstoall peoplewho haveseenthedoctorandhavebeentothecounselingstation.

CounselingStation– sharingthegospelwithpatients,withthehelpof translator(s),after theyhavebeentreatedby thedoctor,prayingfor patients.

Children’sMinistry– Doingvariousactivitieswiththechildrensuchasgames, coloring,etc.,whiletheirparentswaitinlinetoseethedoctor.

PrayerWalking– Beingavailabletoprayoverthevillageyou willbeministeringin.

EyeClinic-AssistIlseincheckingvisionof patients.

Translators

Oneofthebiggestsurprisesduringtheweekwillbetherelationshipsthatareformed withthe translators. Attheendofthetripyouwillneedtopayeach translator. HermannhasanExcelspreadsheetonhiscomputertocalculatethisamount(see sampleattached).

GuidelinesforSleepand Rest

Thisisparticularlyimportantfor teamsbringingteenagers,or children.Pleaseinsurethat you haveareasonable“lightsout”policyinplaceso thateveryonegetstheresttheyneed tofunctionattheirfullcapacityfor ministry.Werecommend“lightsout” by 11:00 pm. MedicalMissionsnow offers2 buildingsfor teamstostay.TeammembersMUST STAYINTHEIRASSIGNEDBUILDINGSBETWEENTHEHOURSOF10:00PM AND 5:30AM. Teamleadersshouldmakeroomassignments,basedon theirassigned building,oomingassignmentswillbepostedon thebedroomdoors whenyou arrive.

Sleepingoptionsareasfollows:TheMinistryCenterhas5 bedrooms,eachwithan attachedbathroom.Eachroomwillsleep4-6 personson bunk beds.TheConference Centerhas4 bedrooms,eachwithanattachedbathroom.Eachroomwillsleep6 persons on bunk beds.Thereisalsoa“masterbedroom”thatsleeps2 withaprivatebath.Itis wisetohaveamixof adultschildreninroomstogether.Eachbathroomisequipped with1 hairdryer.

Extra Excursions

We are adding another OPTIONAL venue on Market Day. For those who want to, Hermann can arrange for you to visit Mana De Vida. Mana De Vida is an inner-city school in Escuintla for at-risk children. It was started and maintained by Vida Real Church and individual supporters. Following the school visit your team will have lunch and go shopping in Antigua as usual.

Zip line tours and volcano tours are also available for an extra charge.
