JOB TITLE: PARISH ADMINISTRATOR (Initial 12 month contract)

LINE MANAGER: The Vicar (or another person agreed by PCC during inter-regnum)

OVERALL AIM: It is our hope that whoever comes on to the Church premises will experience something of the love and affirmation of Jesus. To provide good communication and administration that supports the mission and ministry of Aston Parish Church and St Matthews Church, particularly with regards to rental of the buildings.

AIMS

Parish of Aston and Nechells

To provide administrative support to the Vicar and other Parish staff and officers.

Aston Parish Church

To handle enquiries about Aston Parish Church’s ministries from the public.

St Matthew’s Church

  1. To ensure appropriate and efficient administration is in place for the rental activities of the Church and Community Hall.
  2. To involve congregation members wherever possible in sharing the key tasks, giving expression to the gifts within the Body of Christ at St. Matthews.

KEY TASKS

Parish of Aston and Nechells

  1. To prepare Powerpoint file, newssheets and orders of service each week for Sunday morning services at all three churches
  2. To order and maintain stocks of office and church supplies eg stationery, candles, communion wine, cleaning materials and other consumables etc.
  3. To provide secretarial support to the Clergy and maintain registers, provide statutory returns
  4. To maintain databases e.g. Funerals, Baptisms, Weddings, Electoral Roll, Addresses, CCLI
  5. To maintain the Parish website.
  6. To create and update marriage packs, baptism packs, Aston Praise etc.
  7. To act as a Parish Identity Verifier for DBS checks.
  8. To explain the Christian faith to enquirers and signpost as appropriate.
  9. To undertake other tasks as agreed with your line manager.

Aston Parish Church

  1. To prepare general correspondence, reports, forms
  2. To receive and deal with post, emails and telephone messages in a timely manner.
  3. To manage Church Centre Bookings
  4. To provide hospitable access to Church and Church Centre for visitors, callers, workmen etc.
  5. To maintain the filing system and annual calendar (Google Calendar)
  6. To design posters
  7. To support the PCC treasurer in financial administration (invoices etc)

St Matthew’s Church

  1. To encourage the use of the Community Hall/Church by appropriate groups. To handle all bookings for the rooms, including dealing with money and invoices, and allocating rooms and facilities. To send updates to the Church Committee and Church Hall Management Committee.
  2. To welcome visitors and deal with callers and tradespeople.
  3. To receive and deal with post, emails and telephone messages in a timely manner.
  4. To ensure the electronic calendar and foyer timetable is kept up to date.
  5. To keep records in good order and to do necessary filing in relation to the building
  6. To liaise with church staff, user groups, volunteers, Churchwardens, Church Committee members and those with other leadership responsibilities such as the Parish Projects Officer.
  7. To ensure that the heating for the hall is set appropriately each week.
  8. To manage the St Matthew’s cleaner

Personal and Professional Development

This role is for an initial period of 12 months, and may then be extended. Should this happen, the post holder will take part in annual appraisal and agree a personal development plan with the line-manager, designed to develop skills and experience.

Hours of work and wages

Hours of work: 19 hours per week spread over 5 working days in a pattern to be agreed.

Wages:£9.00 per hour.

Holiday entitlement:20 days per calendar year, plus all public holidays and the weeks following Christmas and Easter.

Person Specification
  • It is a Genuine Occupational Requirement to be a worshipping Christian for this role.

Experience of:
  • Office administration
  • Working in a team
  • Be familiar with administration in a church context

  • Good interpersonal skills
  • Good spoken and written English
  • Competent user of Microsoft Office Suite
  • Good listener
  • Able to articulate the Good News of Jesus Christ in a multi-faith and multi-ethnic context

Education and training
  • Demonstrate sufficient educational ability to communicate effectively and deliver outcomes to the desired standard.
  • Willing to attend appropriate training.
