Name of Test: __Policy Change At Worksite Training Events—“Only Water”

Objective for this cycle (What do you hope to learn?)

In an attempt to make our meetings healthier, we have decided to test out the policy of “offering only water” at our training events. This PDSA cycle will help us determine how best to communicate and “roll-out” the policy at our trainings.

Specific questions to address:

1.  What barriers/challenges prevent staff and training participants from supporting the policy?

2.  What logistics are needed to ensure we have water available during the entire training?

The policy will be a good change. However, there may be some resistance.

Plan

For test: who, what, when, how, where:

The policy will be tested with one upcoming training event (the QI Advisor 2-day workshop on July 15th). Amy will be responsible for ensuring that only water is provided for the event.

For data collection: who, what, when, how, how long:

Observations: Amy and Amanda will observe training participants’ reactions to the “only water” policy. To get staff’s input, the QI Advisor team will huddle at the end of the meeting to discuss their observations and thoughts.

Qualitative: We will include a question on our training evaluation that asks participants to tell us the barriers/concerns with offering only water at the training.

Helpful hints to completing the PDSA Cycle Tracking Form

DO Carry out the change/test.

·  The team purchased water pitchers and had them available throughout the training.

·  Observations: Overall things seemed to go okay. We only had 3 pitchers of water and it seemed that Amy was constantly refilling. Participants continued to ask Amy throughout the training if we had other beverage choices.

·  Qualitative Feedback: Overall participants liked the change. Several suggested communicating about the change prior to the training. Several indicated that they “needed their caffeine” and would have planned to bring their own. Due to the location of the training, they couldn’t find different beverage choices. Other suggestions included talking about the change during the Welcome and Introductions so that everyone understood why the change was made.

Study Analyze and summarize data (quantitative and qualitative)

·  Overall the change went well and we think it will be valuable to our trainings.

·  Things to improve:

Purchas additional water pitchers so that we don’t have to constantly re-fill

Send out an email reminder about the policy prior to training

Incorporate info about the policy in our opening remarks.

Act Document what was learned and plan next cycle

·  ADAPT our approach. We will try the “Only Water” policy again during the next training event (on July 30th). We will ensure we communicate about the change to all participants and will purchase additional water pitchers.

·  Next Steps: Sherry will draft an email and insert a slide into our welcoming remarks. Amy will purchase 2 additional pitchers. We will test the policy again using the same data collection process as before. We will review the results of this upcoming PDSA at our next team meeting (on August 1st).
