Purpose of Post
To be responsible for the management of all aspects of the work of managing The Thanet Youth and Community Centre (the “Thanet”), including financial management, facilities management, fundraising, and assisting with planning projects and activities run by The Thanet.
The post holder will report directly to the Board of Directors and Charity Trustees (the “Board”) at their monthly meetings, as well as more regularly on an ad hoc basis.
Candidates are encouraged to come and visit the centre before applying for this role.
Main Duties and Responsibilities
- To manage staff and volunteers employed to operate The Thanet, in coordination with The Thanet’s Youth and Community Projects Coordinator (the “Projects Coordinator”).
- To lead on the day to day management and administration of the centre ensuring that the building is fit for purpose, that activity is programmed appropriately and that users are happy.
- To prepare for the Board’s approval a spreadsheet setting out an annual estimate of income and expenditure for each financial year.
- To prepare quarterly financial reports to the Board on performance against budget.
- To maintain relations with regular users, and to manage bookings and monitor invoicing for space hire for users of space throughout the year. To monitor bookings, ensuring income targets are met and income maximised. Topromote use of the premises and the activities delivered from the premises, and to coordinate ensuring that users are given keys for access to the premises.
- To coordinate fundraising for The Thanet by exploring new sources of income, building relationships with potential corporate and charitable funders to develop the offer provided by The Thanet and create new funding streams.
- To be responsible for all aspects of facilities management at The Thanet, including liaising with the Projects Coordinator on evacuation procedures for youth activities.
- To liaise with individual contractors for services such as waste management, mechanical, electrical and other maintenance.
- To liaise with The Thanet’s Treasurer to ensure prompt payment of all invoices for freelance staff and contractors.
- To line manage The Thanet’s cleaner, ensuring that the centre is kept clean and tidy for its users. Your responsibilities will also include handling all paid leave, sickness, salary and PAYE filings and payments.
- To work flexible hours. It is anticipated that you will work an average of 15 hours per week across a calendar year and will invoice for the hours actually worked at the end of each month. You may be requested to work some of these hours during evenings and weekends, in particular when there is an event or programmed activity taking place.
- To keep under review the activities and levels of attendance at activities offered by The Thanet. To collate and analyse data to understand specific trends with a few to recommending changes to the Board.
- To ensure that efficiencies, value for money and positive outcomes are being delivered in activities offered by The Thanet.
- To implement all applicable Health & Safety standards and Fire Emergency Procedures are adopted and implemented.
- To manage The Thanet’s social media presence on Twitter, Facebook and other sites relevant to our audience.
- To maintain databases of Thanet users and manage communication with each database in compliance with current data protection legislation.
- To take responsibility for your own professional development by actively seeking formal/informal training relevant to your role.
- To complete all necessary filings and reports with Companies House, the Charity Commission, HMRC, grant funders, London Youth and any other applicable bodies to whom The Thanet reports.
- To ensure that all of The Thanet’s policies and procedures are maintained in line with current best practice and that they are correctly implemented.
- To liaise with all utility suppliers ensuring best value for money.
- To liaise with the centre’s insurance brokers to obtain adequate cover for The Thanet’s activities at the most competitive rate.
- To commit to safeguarding and promoting the welfare of children, young people and vulnerable adults accessing our facilities.
- To undertake any other duties that may reasonably be requested.
