Position Title: CCAP Administrative Assistant

JOB SUMMARY

The CCAP Administrative Assistant is responsible for aiding in the implementation of the Child Care Assistance Program according to policies of Division of Child Care and Child Care Council of Kentucky. Provide administrative support to all CCAP staff.

ESSENTIAL FUNCTIONS OF THE JOB

·  Working knowledge of Child Care Assistance Program policies and procedures.

·  Aid in the implementation of Child Care Assistance Program in accordance with policies and contract.

·  Maintains confidentiality of information at all times per CCC and CCAP policy.

·  Act as first point of contact for the Child Care Assistance Program (professional and courteous). Determines client needs.

·  Possess excellent communication skills, face to face and phone.

·  Possess the ability to make decisions based on good judgment.

·  Ability to work independently and as part of a team.

·  Ability to work under pressure in an intense environment.

·  Provide clerical support as needed.

·  Answer multi-line phones and route calls to appropriate staff.

·  Prepare child care and consumer information packets for clients as needed.

·  Process incoming and outgoing mail, inputting case notes in client profiles as needed.

·  Compose routine correspondence.

·  Compile supply order, submits to Central Office for purchase and distributes on receipt.

·  Compile and distribute minutes from CCAP staff meetings as needed.

·  Exhibits friendliness, respect, professionalism and flexibility in relationships with clients, providers, CCC staff, and collaborating agencies.

·  Essential functions of the job require staff member to be onsite.

·  Any other duties as assigned.

OTHER DUTIES AND RESPONSIBILITIES OF THE JOB

·  Keep abreast of all changing CCAP policies and procedures.

·  Familiar with all aspects of the Child Care Council of Kentucky

·  Must be willing to work non-traditional hours as needed.

·  Some travel may be required.

EXPERIENCE REQUIREMENTS

·  At least one year of administrative assistance is a plus.

·  Bilingual skills a plus.

EDUCATION / CERTIFICATION REQUIREMENTS

·  A minimum of a GED or high school diploma.

PHYSICAL REQUIREMENTS ESSENTIAL TO PERFORM THE DUTIES OF THE JOB

·  Frequently communicates with employees and customers in person, on the telephone, and on the computer to provide assistance.

·  Frequently remains in a sitting position at a desk to perform customer service duties.

·  Frequently uses the computer with fingers and hands.

·  Frequently works in a well-lit, tempered room.

·  Must be present to perform job functions

·  Occasionally exposed to outside elements when traveling for business.

·  Occasionally lifts objects weighing up to fifteen (15) pounds when moving supplies.

·  May be required to stoop, bend, or kneel.
