Communications Officer

Responsible to: CEO

Location: Central Leicester but sometimes required to travel elsewhere in Leicestershire/Rutland.

Salary: c£23k depending on experience + 5% employer pension contribution

Annual Leave: 25 days + bank holidays

Contract: Fixed term contract until March 31st2017 (possible extension to a permanent role). 30 hours per week with negotiable flexibility around hours. Immediate start.

Leicestershire and Rutland Community Foundation is a charity which encourages and enables private giving. We set up charitable funds for families and companies, and we distribute grants to any charitable cause chosen by the donors. We specialise in supporting smaller “unbranded” charitable groups which help keep our local area thriving. We deliver grants programmes for Comic Relief, Big Lottery and others. We are one of 48 accredited UK Community Foundations, working independently but similarly.We are looking for an enthusiastic and personable individual to help manage all areas of our communications around donor funds and potential donor funds, including event co-ordination.

Overview of the Role

You will be part of a small friendly busy team of six, and your role will be to co-ordinate communications and related operations in relation to donors and other existing/potential stakeholders. You will be responsible for donor and membership tracking, scheduling, and written and verbal communications, creating reports for various audiences. You will manage, support and attend all our events, and work with aspects of our design, print website and social media. You will support the CEO and Board, including preparation for presentations and attendance at meetings. Your role will focus on high-level data management for all tasks, and you will maximise use of our database, Salesforceon a daily basis.

We have tried and tested structures in place which you will need to be able to understand and manage quickly; but there will be opportunities to develop new approaches too. You will have attention to detail combined with an outgoing nature, as there is frequent contact with donors, team members and with charitable groups we work with. You will need to be able to work well both under your own initiative and with others too, sometimes under pressure, in a central and not very glamorous office!

Main Tasks

  1. Support the CEO and Board by co-ordinating key areas of our communications with all stakeholders, particularly with current and potential donors
  2. Lead on maximising our database Salesforce for donor fund management and events
  3. Manage, support and attend all our events
  4. Co-ordinate liaison and contact with donors/donor funds including servicing meetings, follow up, responses, membership tracking, ensuring all records are kept up-to-date
  5. Schedule and create reports for various audiences particularly donors
  6. Some administrative support for the CEO and Board, particularly around preparation for presentations and tracking donor requirements, attending meetings, some note taking.
  7. Managesome design and print.
  8. Support ourwebsite and social media presence with other members of the team
  9. Represent the Community Foundation at some events and networks
  10. Help identifyand pursue inactive and dormant trusts/charities which can be managed and re-purposed by the Community Foundation in the spirit of the original intent.
  11. Work with all members of the team to achieve the Community Foundation’s vision and day to day tasks, acting in accordance with the policies and procedures of the organisation
  12. Undertake any other reasonable tasks and responsibilities as directed by the CEO

Person Specification

  1. A high level of confidence and experience in data management, and willingness to swiftlyunderstand and maximisethe potential of our database Salesforce
  2. A high level of organisationalability: attention to detail and patience to track and manage complex donor funds and stakeholders
  3. Keen to attend and support several Foundation events per year – of varying sizes and formality, sometimes outside normal office hours
  4. A flexible approach: our donor funds and stakeholders have varied requirements, and you will need to be willing to work on a wide variety of tasks: some exciting, some mundane and administrative
  5. A high level of written and verbal communicationskills with an ability to work with a wide range of people of many differentbackgrounds
  6. A good eye for design would be a distinct advantage: you will manage aspects of our design and print and as we work on tight budgets, we often need to create professional-looking reports and other communications in-house
  7. An understanding, or a genuine willingness to develop an understanding, of the charitable and business landscape in Leicestershire and Rutland
  8. Flexibility and a practical, ‘can do’ attitude: a team player who can also work on own initiative if required
