Function Options and Glossary
Functions
The following table shows the functional hierarchy within the FM system. Each level of indentation shows the options that are available. All options are available to the function unless noted otherwise in the description.
BT Balances and Totals
ST Summary Totals Displays balances and totals for receipts, and expenditures for the account
CT Class Totals Displays totals for receipts and expenditures by class for
the account
ET Encumbrance Totals Displays total encumbrances by type for the account
Period Viewing Options
C Current Displays balances and activity totals for he current month
and the cumulative period. Cannot use for Class Totals
screens
M Monthly Displays balances and activity totals by month. Cannot use
for Encumbrance Totals screens
Q Quarterly Displays balances and activity totals by quarter. Cannot use
for Encumbrance Totals screens
A Annual Displays activity totals by month without balance
information. Cannot use for Encumbrance Totals screens.
Accumulation Viewing Options
P Periodic Displays activity totals for each individual period. No
accumulation is shown.
Y Year-to-Date Displays year-to-date cumulative activity totals for each
period.
Year Beginning Month Viewing Options
07 July ISU fiscal year
10 October Federal fiscal year
01 January Calendar year
All dates are in the mm ccyy format. The current year and two previous fiscal years are available.
TD Transaction Detail
DR Detail by Reference Number Displays transactions sorted by reference number
DC Detail by Class Code Displays transactions sorted by class code
DD Detail by Document Date Displays transactions sorted by document date
DT Detail by Transaction Code Displays transactions by type of transaction
DS Detail Application Selection Displays the options for the TD function
EA Encumbrances by Account Displays the encumbrances created by PO’s
EP Encumbrances by PO Displays the encumbrances related to a PO
Layout Viewing Options
N Normal Displays the four elements listed above plus
description, purchase order number, and amount
E Extended Displays the elements in “normal layout” plus section-
project and payee Social Security number
Display Month Viewing Options
All dates are in the mm ccyy format 15 months of date are available
LB Lists and Browses
Search Options
Fund-Account Displays account, account title, mailing address and org
code in account number order. Put a character in the
section-project field to list projects.
Org Code Displays org code, department title and unit title in org
code order. For a list of accounts by org code, put a
character to the left of the org code of interest.
Class Code Displays class code, class title, Contract Statement group,
and class code roll-up in class code order.
Principal Investigator Displays principal investigator (PI) name, home
department name and address in PI name order. For a list
of accounts by PI, put a character to the left of the PI
name of interest.
Contract Number Displays contract number, sponsor and PI in contract
number order. For a list of accounts by contract number,
put a character to the left of the contract number of
interest.
F Keys
The following describes the usage of the F keys across the top of your keyboard.
F1 Help Provides an explanation of the field you are in and/or a list
of its options.
F3 Menu Takes you to the menu of the next higher level. Exit helps.
F4 Transfer Transfers you to the ADIN menu or another system if
function designated.
F5 Back Screen Functions like Back in a Web Browser. Takes you to the
screen you used immediately before the current.
F6 Forward Screen Functions like Forward in a Web Browser. Only used after
F5 to take you to the next screen.
F7 Up Scrolls like a spreadsheet to the screen above the current.
F8 Down Scrolls like a spreadsheet to the screen below the current.
F9 Left Scrolls like a spreadsheet to the screen left of the current.
F10 Right Scrolls like a spreadsheet to the screen right of the current.
F11 Previous Takes you to the account immediately before the current.
F12 Next Takes you to the account immediately after the current.
Right Control Takes you to the next line of the screen.
