Sealed tenders are invited by the undersigned for the sale of scrap items available at Ooty on "AS-IS-WHERE-IS" basis.
The documents can be had from The Manager Stores, Hindustan Photo Films, Mfg. Co. Ltd., Indunagar, Ootacamund-5 on payment of Rs.200/- (Rupees two hundred only) by cash / Money Order or Demand Draft (Cheque will not be acceptable) in favour of M/s. Hindustan Photo Film Mfg.Co. Ltd., Ootacamund – 643 005.
The completed tender document can be sent by Regd. post / Courier to our Ootacamund Office on the specified date. The Company will not undertake any responsibility for Postal delay or any other reasons.
Tender form and details can be downloaded from our web site www.hpf-india.com. The cost of downloaded applications (Rs.200/-) may be paid in the form of Demand Draft at the time of submission of the offer.
The materials may be inspected from 28.10.2013onwards on all working days from 9:30 hours to 17:00 hours except on Saturday, Sunday and Company Holidays.
Completed tender documents shall be superscribed clearly as ” TENDER FOR SALE OF SCRAPS ” items and reach the Manager Stores, Hindustan Photo Films Co. Ltd., Indunagar (Post), Ootacamund - 643 005 along with requisite Earnest Money deposit on or before 4.00 PM on 13.11.2013
The Tender will be opened on 13.11.2013 at 4.15 P.M. at Store Office -Ootacamund.

INSTRUCTIONS TO TENDERERS/
GENERAL CONDITIONS OF SALE (EMPTIES & SCRAPS)

/ Sealed Tenders in the prescribed form are invited by the undersigned for the sale of item asAS-IS-WHERE-IS’ conditions.

Quotations shall be sent in a sealed cover super scribing Tender Number, as well as the date of opening of the Tender and addressed to: THE MANAGER STORES, HINDUSTAN PHOTO FILMS MFG.CO.LTD. , INDUNAGAR (P.O), OOTACAMUND-643 005. THE NILGIRIS (TAMIL NADU) shall be reached not later than 4.00 PM on 13.11.2013. The company will not undertake any responsibility for any postal delay.

/ The offer should be kept open for acceptance of a period of 90 (Ninety) days from the date of opening of the tender. The tenders will be opened by the undersigned or by any authorized officer at 4.15 PM on 13.11.2013. Tenderers are at liberty to be present or authorize their representative to be present at the time of opening of the tender4
/ The item(s) is/are available for disposal at the premises of the Company at Ootacamund . Bidders if they so desire may inspect the item at the Company’s premises at their own cost on any working day from 28.10.2013 onwards from 9.30 AM to 5.00 PM except on Saturday, Sunday and any holidays with the prior permission of The Manager Stores of the company.5
/ Tenderers must pay an EARNEST MONEY DEPOSIT (EMD) of 2.5% on the total quoted value in the form of Demand Draft payable to M/s.Hindustan Photo Films Mfg.Co.Ltd., drawn at any of the nationalized Bank.6
/The tender shall be submitted in a sealed cover and superscribed with the Tender Notice Number, date and due date of opening of the Tender. The Earnest Money Deposit remitted by the successful Tenderer will be retained by us as interest free Security Deposit for the due and satisfactory completion of the removal of the items.

/ The Earnest Money Deposit will be refunded to unsuccessful Tenderer after the completion of all formalities with respect to these disposal activities without any interest.8
/ Incomplete Tenders and Tenders without enclosing requisite EMD as specified, will be liable for rejection9
/ The Company reserves the right to withdraw any or all the items or quantity offered for sale, if so desired before allotment of items to the Tender(s).10
/If the Tender is made by an individual, it should be duly signed with his full name and address indicated along with the signature. If it is made by the firm, it should be signed in the partnership name and by a member of the firm holding a letter of authorization from the Managing Partner. He shall also sign his name ans shall give his address and also furnish the name and address of the managing partner of the firm. If the Tender is made by a Company, it shall be duly signed by an authorised Officer of the company.

/The Tenders and the enclosed schedule should be signed by the bidder. The Tender documents are not transferable and any correction(s) made in the price quoted should be attested by the bidder with his full signature and seal if required.

/Sale order will be issued to successful tender(s). On receipt of the Sale Order, the full value indicated should be remitted within the due date specified to the Company.

/ The Tenderer may offer their rates for one or more items in the same format with figures and words. Hindustan Photo Films Mfg.Co.Ltd., reserves the right to accept or reject any portion of the tender.14
/ On production of the Cash Receipt of the Sale amount payable as indicated in the Sale Order, necessary Delivery Note will be issued by The Manager Stores or any other authorized officers to enable the Tenderer to remove the items. The Tenderer shall ensure removal of the items within the stipulated date as per the Sale Order.15
/ Sales Tax and or other taxes/duties, if any, payable on the Sale of the items by Hindustan Photo Films Mfg.Co.Ltd., will be collected extra from the successful Tenderer at the rate applicable at the time of actual sale.16
/ Tenderer intending to take a delivery of the items through their representative should submit a letter of authorization attesting the representative’s signature giving full particulars. Original Sale Order should be enclosed along with the letter or authority. However, transfer of a tender or Sale Order to any other name will not be permitted.17
/ Tenderer is requested to furnish Sales Tax Registration Number or latest Income Tax certificate.18
/ The items offered for Sale are ex-factory and will be on “AS-IS-WHERE-IS” basis. The tenderer should satisfy himself thoroughly as to what is offered for sale by inspecting the items before submitting the Tender. He shall be deemed (whether inspected the prior to submission of tender or not) to have inspected the items specified in the Sale Order/and have thorough knowledge of the conditions of the items before submitting the tender.19
/ Tenderer shall make his own arrangement for the removal of the items and no assistance of any kind whatsoever will given by the Company for the removal of the items.20
/ Tenderer shall be responsible for the careful and safe removal of the items without any damage etc., to the properties in the premises of the Company and Tenderer shall be responsible for such damages if any.21
/ Persons engaged by the tenderer for the removal of the items will be governed by the Security rules of the Company as applicable to such persons from time to time22
/ The Company reserves the right to add/alter/amend partly or wholly the conditions that may be required from time to time.23
/If for any genuine reason(s) the buyer is/are unable to remove the goods sold to them within the due date as specified in the Sale Order, the buyers should apply in writing to the undersigned for necessary extension. The extension will be granted on payment of godown rent at 1 % per week or part thereof on the total Sale Value, and this amount shall be paid to the Company.
However, such extension will be granted only for maximum period of two weeks after the due date specified in the Sale order and in case the removal is not effected before the extended date, the Sale Order will be cancelled without notice to the Tenderer(s).
