  1. SETUP AND CLEANUP TIME MUST BE INCLUDED IN RESERVED RENTAL TIME
  1. The following rates apply to meetings/activities that occur between 7am and midnight. Rental requests for meetings/activities that begin prior to 7am or extend beyond midnight will require special approval by the South Routt Community Center Board of Directors and additional rental fees, deposits and/or requirements may apply.

*Non-profit and community based groups may reserve multiple dates for one fee, a negotiated damage deposit and reduced hourly rate depending on the number of reservation requests in an application.

**All reservations must include sufficient time for set up/clean up before and after use.

*** To expedite the return of damage deposit, please submit one check for rental fee and a separate check for damage deposit.

Damage Deposit will be held for 14 days before any refund will be made.

PAYMENT OF FEES AND THIS COMPLETED AGREEMENT MUST BE SUBMIITED TO THE SOUTH ROUTT COMMUNITY CENTER PRIOR TO THE EVENT, c/o Town of Oak Creek, P.O. Box 128, 129 Nancy Crawford Blvd., Oak Creek, Colorado 80467.

Arrangements for key pick up and return can be made at the time payment is received.

USER – PLEASE READ, INITIAL AND SIGN

In consideration of the use of the South Routt Community Center Community Room, 227 Dodge Street in Oak Creek, the undersigned agrees to the following:

1. The undersigned indemnifies and holds the Center harmless, as well as, the Center’s officers, agents and employees, from and all liability, damage, loss, cost and expenses, on account of any claim, suit, or action made or brought against the Center, its officers, agents or employees for the death of or injury to persons or destruction of property involving the undersigned user, its employees, agents and representatives sustained in connection with the use of the facilities in pursuant to this Facility Use Agreement. _____ (initial)

2. The sale of distribution to the public of food or concession items must be pre-approved.

3. Clean up and trash removal is the responsibility of the undersigned. Damage above and beyond the deposit is the responsibility of the undersigned (see exhibit A). ______(initial)

4. The undersigned must pay for time reserved. No refunds due to partial use of reserved time. Any time not reserved may be booked for another user. The undersigned must allow adequate set-up and clean-up time when scheduling the Center. The undersigned agrees to vacate the premises at the agreed-upon time and also understands that the facility cannot be occupied prior to the contracted time. Failure to comply may result in forfeiture of damage deposit._____ (initial)

5. Security of the Facility is the undersigned’s responsibility during the scheduled time. The undersigned must lock the facility (all doors and windows) when leaving. Failure to do so may result in forfeiture of damage deposit. _____ (initial)

6. Lost key charge is $20.00. ______(initial)

7. In the event of mechanical failure or other unforeseen occurrence, that render the fulfillment of this agreement impossible or impractical, the undersigned waives any claim for damage or compensation other than potential refund of rental fee & deposit, should this agreement be terminated. ______(initial)

EXHIBIT A

CLEAN UP: Please be courteous – leave the facility as you found it.

RENTERS RESPONSIBILITY:

  • Take out all trash to dumpster (located at lower NW corner)
  • Reline trash bins with new liners (located in storage closet)
  • Return furniture to original location
  • Sweep floor and mop if necessary (brooms and mops located in storage closet)
  • Before you leave check off “Reminder List” (located by front door)

YOUR DAMAGE DEPOSIT WILL BE FORFEITED IF CLEAN UP IS NOT PERFORMED, AND ADDITIONAL CHARGES MAY BE ASSESSED.

  • Popcorn machine (available upon request only)

MAXIMUM CAPACITY: Seated: 95; Standing: 200

ALCOHOL: The serving of alcoholic beverages is allowed without a Special Events Permit, provided that the event is invitation only and no money is involved. (No cash bars and the cost of the alcohol cannot be hidden in a fee.) If alcoholic beverages are to be sold, a Special Events Permit from the Town of Oak Creek will be required. Alcoholic beverages are NOT permitted outside of building.
