Societies Handover Checklist

This checklist is designed to help current committees induct new committee members into their roles before they take over in July.

Overview of the society this year

Discuss the activities you have organised this year. What went well and what didn’t. How have the committee worked together this year? Do you have any good contacts to pass on? What do you wish YOU had known when you became a committee member? Don’t forget to pass on budgeting tips and how you gained more members.

Meet the Union Societies Office & Attend AGM

Pop into the office on Penrhyn Road and get to know the Societies Coordinator, Activities Officer and Societies Assistant.

The societies AGM takes place the week before Fresher’s Fayre every year. Make sure a minimum of two committee members attend so your society is not penalised. The agenda at the AGM will cover what’s coming up for societies that year, an introduction from the officers, society working group elections and Fresher’s fayre rules and regulations.

Fresher’s Week & Fayre

Discuss what events you ran in freshers’ week and what you did at the fresher’s fayre. Do you have advice for next year? Start planning your fresher’s fayre early! This is your best opportunity to get new members signed up so use your resources wisely and make it worth it! Income and Expenditure

What did you spend your money on this year? Did you make any money at events or through fundraising? Did you overspend? Have you got a spreadsheet of costs for the year to pass on? Have you benefited from any sponsorship arrangements?

Publicity and Promotion

What have you done this year to get students to sign up to your society and attend your events? How could you have improved this? Don’t forget to pass on any email addresses or passwords!

Training

Each year training is held around the beginning of June. Ideally, all committee members should be elected before this date so that they can attend training. Training will cover;

Finance, events, publicity, creating marketing material and planning the year ahead.
