One Children's Fund works with some of the most vulnerable children in the world, helping them to deal with disease, trauma and disability, and giving them the opportunity to lead fulfilling lives. We identify and fill the gaps neglected by Governments and other agencies, improving children's access to vital treatment, education and support, and building models at the grass roots which can be easily adopted and replicated by Governments to ensure their sustainability. We build the capability of those best placed to respond to the needs of children: families, health professionals, teachers, communities and local organisations, and we give particular priority to children's emotional, social and psychological needs. Job Summary:
We are looking for a highly motivated and well-organised individual, with an interest in the charity/international development field, to manage our charity's office administration and finances. You willthrive in a fast-paced environment and enjoy being part of a small collaborative team. You will be able to think outside the box and problem-solve whilst dealing with day-to-day tasks.The role does not involve any staff management, and you will be happy to be hands on, work on your own initiative and be keen to grasp the opportunities that arise in working for a dynamic organisation.You will have a solid background in both office administration and financial managementand be looking to develop your skills in this role.
Our ideal candidate will be an experienced financial manager with charity experience (or an accountant keen to move into the charity sector) with general organisational skills and the willingness and ability to run an office.

The work includes:
- Management of office administration, including management of suppliers and support to HR functions
- Management of the finances of the charity, including payments, inputting into SAGE and preparation of management accounts
- Database and IT management
- Supporter relations, including processing of donations, supporting fundraising events and handling phone calls and other correspondence
Key responsibilities:
Management of Office Administration
- To take responsibility for the smooth running of the office.
- To provide administrative support to the team.
- To liaise and negotiate with suppliers.
- To support the organisation of events.
- To maintain and develop an effective filing and data management system for the organisation.
Financial management
- To maintain financial records, accounting and bookkeepingusing SAGE
- To manage all accounting operations including the general ledger, invoicing and payments
- To prepare monthly financial statements and quarterly management accounts
- To prepare annual statutory accounts for audit
- To prepare annual Gift Aid claim
- To assist programme team with project budgeting
- To manage international payments, including relationships with foreign exchange agencies
- To ensure that appropriate systems and internal controls are implemented and maintained
- To assist the Executive Director with budgeting and forecasting
IT and Database
- To manage the organisation’s IT systems.
- To administer and develop the Charity’s database.
Supporter Relations
- To process donations and other income, and manage the thanking process.
- To ensure the donor database is utilised effectively and kept up to date.
- To handle phone calls and other donor correspondence.
- To provide support to event fundraisers and volunteers.
Other Requirements
- To occasionally help at evening or weekend events.
- To undertake any other duties that may be required from time to time.
- To be aware of individual responsibility for health and safety of self and others in the workplace.
Person Specification:
- Relevant experience in managing a busy office environment
- Excellent organizational skills and good attention to detail
- Qualified AAT/ACA/ACCA/CIMA (or equivalent) AND/OR 4 years’ experience of financial management and reporting, ideally in a charity
- Thorough, up to date understanding of accounting regulations, principles and procedures
- Strong IT skills with an ability to maintain an office network and experience of working with databases
- Able to take initiative and work independently
- Excellent written and verbal communication skills
- Team player with hands on approach
- Flexible and proactive
- Ability to prioritise a heavy workload and to multi-task
- Previous experience in charity environment an advantage
