Employee Leave Report

Supervisors have the ability to run a report in Kronos detailing employee leave usage. This report can be run at any time but should be run at least once a year when the annual performance review is completed.

  1. Click on the down arrow in the lower right hand corner of your screen.
  2. Click on History.
  3. Click on Punch Detail.
  4. In the Send To section at the top of the screen, select Local Printer.
  5. Enter the date/time range you want to run the report on. For example, if the employee’s annual performance review is due on December 1st, you will need to run leave usage from December 1st of last year to December 1st of the current year.
  6. Dates: Dates must be entered in the MMDDYR formula without slashes. For example, December 1st, 2009 would be 120109. You may also use the calendar icon to select a date from the calendar.
  7. Times: The ‘From’ time will always be 00:00 and the ‘To’ time will always be 23:59.
  8. On the Employee Number line, enter the employee ID number of the employee you want to run the report on or use the down arrow to select the employee from the list if you do not know their number.
  1. Your screen should look similar to the one below. Click Continue.
  2. The Rules/Codes selection screen will now appear. Leave all fields blank and click Continue again.
  3. The Sort Option screen will now appear. Under the sort option box, select the method you would like to use to sort the report.
  4. Click Continue.
  5. On the Exception Selection screen, look for the Detail or Summary selection and choose Detail.
  6. Next, look for the Print All Pay Codes field and remove the checkmark next to that field.
  7. In the Select Pay Codes boxes, enter the pay codes you wish to review.

Note: You should always include the pay codes of SF1, SF2, SF3, SP1, SP2, SP3 for sick leave and VAC for vacation but may include other pay codes if applicable. Other codes may include FML for family medical leave, UNP for unpaid time, CTU for comp time used, etc.

  1. Complete the rest of the fields as outlined in the example below.
  1. ClickSAVEtwice to submit the report.

Note: Selecting Cancel or Exit will exit the window and cancel the report request.

  1. You will be returned to the History menu. Look at the top of your screen for the report queue icon and click on it.
  2. You will now be at the Print Selection Processing screen. The report you submitted will be named Punch Detail History and will display at the top of your list as the most recently generated report.
  3. Refresh the screen with the Refresh button until the status reads Completed.

  1. Double-click the completed report to view it in PDF format. The report will have a cover page with the values you ran the report on. The results will display on the following pages.

  2. To print the report, use the PRINT icon on the toolbar.
  3. Click EXITto exit the Print Selection Processing screen once finished.
