TOUCHDOWN CLUB MEETING

August 28, 2017 Minutes

WELCOME AND APPROVAL OF MINUTES

  • Lisa Gerrish called the meeting to order at 7:08p.m.
  • Lisa Gerrish stated that the Minutes from the last meeting were posted and will be approved as written. Liz Jacksonmoved to approve the MInutes and Diana Yatesseconded. Motion carried.

PRESIDENTS REPORT

TREASURER REPORT

  • Lisa Gerrishreported that the account balance as of August 24 was $43,281.94with $11,638.87 additional funds in the PayPal account for a total of $54,920.81. Expenses included in that balance are $2,000 (BBQ) and $3,230.19 (trailer) and not includedare about $2500.
  • This year’s budget will reflect an increase for photography and decreasefor spirit wear.

NEW BUSINESS

  • Lisa Gerrish shared that we still need a Treasurer. She will reach out to Leslie Keating, John Keating and Janine Yetter to see if they would be interested in the position.
  • Coach requested a new iPad for game film and review purposes. With all Board members in agreement, Lisa will purchase it and take it to them tomorrow.
  • John Keating has volunteered to announce at the JV games. He met Lisa at school today to make sure the equipment is working and ready for the game this week.
  • Coach is asking for JV and freshman volunteers.
  • We have hired Jack Mayo as the Varsity game videographer and photographer. He will take pictures at the games and offer them to parents free of charge.
  • Lisa Gerrish has a possible sponsor for varsity banners. She will finalize plans by tomorrow but believes the sponsor will purchase any remaining varsity player banners not bought through the online spirit wear stores, approximately 15-20 banners.
  • Lisa Gerrish and Coach Miller spoke about Sideline Sweethearts. Coach Miller will match up the varsity players and cheerleaders so that the ages align. All girls will write notes to the players and CoachMiller will purchase theme-related gifts for the boys from the girls.There was also discussion about a Reveal Breakfast with more information to come.
  • Lisa Gerrishhas arranged and purchased AIM Insurance coverage for the TDC. It will cost about $350/year, including a bond for the Board with up to $50, 000 and personal property and liability/theft coverage. For another $150/year it can include coverage for vandalism/terrorism.The insurance policy requires an annual audit and bank statements to be sent to someone other than the Treasurer or a PO Box. Then a non-signer must open the monthly statement, review, sign and date it before the President or Treasurer reads or reconciles it. Liz Jackson moved to purchase the additional vandalism/terrorism coverage. Diana Yates seconded the motion. All were in favor and motion carried. Liz Jackson will be listed as the recipient of the monthly bank statements. Her address is 4816 Glen Heather Drive, Frisco, Texas 75034.
  • Lisa Gerrish has been asked to create a Powerpoint of varsity player head shots to be used at all games played at the Star.

OLD BUSINESS

  • Jennifer Houghtlin has raised $19,450 in fundraising for the program this year.If all last-minute ads and photographs are finished this week, she plans to have programs ready to sell next week at the Memorial game.Jennifer plans to order about 200 programs and 200-250 posters for printing.
  • Liz Jackson will add sponsor logos on website to thank them for their generosity and support this season.
  • The End of Season Football Banquet is scheduled for Thursday, January25,2018, at Collin College. Crystal Brooks is finalizing the catering menu but plans for a plated dinner approximately $30/plate.
  • Crystal Brooks will be gone for the Community Parade on November 11. Liz Jackson and Diana Yates agreed to help as well as other members of the Board. Crystal will have the float planned and leave detailed instructions for decorating. She has purchased from her parade budget large letter props that are being made and will be ready in time for the parade.
  • Diana Yates and Lisa Gerrish cleaned and prepared the FHS concession stand. It is ready for this week’s game and sales. The air conditioner is broken and Lisa is notifying the school/district to request for repair.
  • Game Day volunteers are beginning to fill open spots. Diana Yates will coordinate food for the boys after the Woodrow Wilson away game. Diana and Liz Jackson have made plans for decorating the locker rooms. All of the game day meals are in planning phases with varsity dinner themes chosen.
  • Membership and meal payments are still coming in. We hope to continue to receive a few more since we are a little behind last years’ numbers, possibly due to the new athletic fee assessment this year.
