AWWA Operator Competition In-Kind Sponsorship Opportunities

An in-kind material sponsorship is defined as consumables that once used would typically be discarded. Examples would be pipe, copper, paper, food and drink. For cash sponsorships please contact the AWWA Sales Staff.

Currently there are three (3) AWWA Operator Competitions: Meter Madness, Pipe Tapping, and Top Ops. There is an additional demonstration, Hydrant Hysteria, which expected to become a full AWWA Operator Competition by 2017. For more details on what materials may be sponsored please continue on page 2 through 7.

All in-kind material sponsorships are managed by the individual event subcommittee. The duration of material sponsorships are one (1) to three (3) years.

How to become an in-kind sponsor:

  1. There are a few eligibility requirements for a company to enter into an in-kind sponsorship rotation. The potential in-kind sponsor must:
  • Be a Service Provider Memberof AWWA
  • Exhibit at ACE
  • Be an active committee member of the appropriate competitions subcommittee (assist with the contest, attend committee meeting at ACE) for two years prior to being approved to sponsor the event
  • Be in business in North America for five years or more
  • Have materials that fulfill the ‘Material Special Criteria’, listed on each AWWA Operator Competition Sponsorship list
  1. Use the Competition Sponsorship Lists on page 2 through 7 to identify an in-kind sponsorship rotation you would like to apply for. All materials identified are available for in-kind sponsorship. Please note that if an item has “current cycle repeats” in the rotation column there is still availability to enter into the rotation.
  2. If your company meets all requirements, review the In-Kind Sponsorship Rules and Regulations on page 8 and fill out an Operator Competition In-Kind Sponsorship Interest Form on page 10.
  3. Once your Interest Form has been received, the Subcommittee will review your application and be in touch within sixty (60) days of receiving your interest form.
  4. Upon Subcommittee approval, the AWWA Competition Staff Advisor will be in contact and your rotation timeline will be identified.
  5. One year before your sponsorship year the AWWA Competition Staff Advisor will contact you with a Material Transfer Agreement. A template Material Transfer Agreement is located on page 12. Please review the Agreement prior to submitting your Operator Competition In-Kind Sponsorship Interest Form. Agreement terms and conditions are subject to change.

In-Kind Sponsorship Rules and Regulations

Eligibility:

American Water Works Association reserves the right to determine the eligibility of any in-kind sponsor during the course of any AWWA event. All in-kind sponsors must:

  • Be a Service Provider Member of AWWA
  • Exhibit at ACE
  • Be an active committee member of the appropriate competitions subcommittee (assist with the contest, attend committee meeting at ACE) for two years prior to being approved to sponsor the event
  • Be in business in North America for five years or more
  • Have materials that fulfill the ‘Material Special Criteria’, listed on each AWWA Operator Competition Sponsorship list

Cancellation Policy

A signed Material Transfer Agreement must be received one year prior to ACE to secure that year’s rotation spot. Without a signed Material Transfer Agreement, AWWA will not guarantee or hold the manufacturers rotation spot.

Should for any reason the in-kind sponsorship not be available or should other contingencies prevail, which in the opinion of AWWA, would prohibit or greatly limit attedance at the conference, AWWA has the right to cancel the event or sponsorship and shall not be liable for any expenses incurred.

Liability

AWWA, including its officers, directors, agents, employees, contractors, assignees, volunteers, other sponsors, and the convention venue shall not be held responsible for the effectiveness of “product awareness” through the sponsor’s use of the competitions.

Each in-kind sponsoring company agrees to abide by these rules and regulations when its company representatives signs the Material Transfer Agreement. These rules and regulations become part of the contract between the in-kind sponsor and AWWA. AWWA has full power of interpretation and enforcement of these rules and may amend them at any time. All matters in question not covered here are subject to the decision of AWWA and all decisions shall be biding on all parties affected by them. In-kind sponsors or their representatives who fail to observe these conditions of contract or who, in the opinion of AWWA, conduct themselves unethically, may be immediately dismissed from the event without appeal.

Sponsorship Arrangements

AWWA staff and volunteers will oversee and implement all arrangements including, but not limited to, signs and set up.

Guidelines and Rotation

In-kind sponsorships must be professional and tasteful, enhance the competition experience, offer the opporutnity for potential sponsors to reach a specialized audience, and compliment AWWA advertising and exhibit opportunities.

  • If more than one company is interested in an in-kind sponsorship, rotation assigment will be on a first-come first-serve basis.

Please note that rotation assigments are subject to change. An in-kind sponsorship spot in a rotation cycle is permanent but the rotation year(s) may change due to additional in-kind sponsors entering in the rotation.

In-Kind Sponsorship Renewal

All can be renewed in accordance with the term and conditions listed in the Competition Sponsorship Policy, so long as other interested vendors have a resonable opportunity to participate over time on an equitable and technically appropriate basis.

Material Transfer Agreement

This agreement is effective as of the date last signed below through June 30, 2016, by and between American Water Works Association, 6666 West Quincy Avenue, Denver, CO 80235 (hereinafter referred to individually or collectively as “Recipient”) and ______, having an office at ______(the “Provider”). The Provider and Recipient may be referred to collectively as the “Parties”.

WHEREAS the Provider is the owner of certain materials that are used in AWWA Operator Competition and Recipient has requested the right to use such materials in its AWWA Operator Competition.

NOW THEREFORE the Provider and Recipient hereby covenant and agree as follows:

  1. Provider’s Contact – For the purposes of this agreement [company name] representative, [Name], [Title], [Department] [Address], shall be the Provider’s contact.
  2. Recipient’s Contact – For the purposes of this agreement American Water Works Assocation competition staff advisor, Elizabeth Foster, ETS Coordinator, Engineering & Technical Services Department 6666 West Quincy Avenue, Denver, CO 80235, shall be the Recipent’s contact.
  3. Definitions – Where used in this agreement, the following words and phrases shall have the meanings ascribed below:
  4. “Materials” means the following materials: ______provided to Recipient by Provider.
  5. The Provider must notify the Recipient within thirty (30) days of any manufacturer modifications to the Materials agreed to above.
  6. The Provider will provide:
  7. Materials agreed to in Section 3.a.
  8. A banner in a horizontal format since it will be hanging from the rail around the perimeter of the tapping stage. It cannot exceed these measurements, or it will be removed by the conference directors:30" high x 5’ long.”
  9. Expiration, Termination, and Extension – The term of this Agreement will be XX year(s) from the effective date set out above. Either party wishing to extend this Agreement shall notify the other party of its desire to begin the extension of the Agreement no less than thirty (30) days prior to the expiration of this Agreement. Either party may terminate this Agreement by giving thirty (30) days prior written notice to the other party.
  10. Authorized Use – The use of the Materials by Recipient is subject to the following restrictions:
  11. The Materials are to be used soley for AWWA Operator Competition purposes to complete the AWWA Operator Competition in accordance with this Agreeement; the Materials are not to be used for any purposes outside of the AWWA Operator Competition.
  12. No Rights Granted – Unless otherwise agreed to between the parties, nothing contained in the Agreement shall be construed as granting or conferring any rights, by license or otherwise, under any trademark or name, copyright, patent, know-how, or other proprietary right owned or held by the Provider, nor shall this Agreement be construed as an obligation upon either party to enter into a business arragment or agreement with the other party.
  13. AWWA does not provide endoresment of any Materials manufactured by in-kind sponsors and takes no position concerning the adequacy of such products or their compliance with any AWWA standard.
  14. Liability – Except to the extent prohibited by law, Recipient assumes all liability for damage, which may arise from its use or disposal of the Materials once Materials have been transferred to the AWWA Operator Competition floor.
  15. Delivery of Provider Materials – The Provider is responsible for all shipping costs of Materials to the AWWA Operator Competition floor.
  16. Return of the Provider Materials – All Materials delivered pursuant to this Agreement shall either be returned to the Provider, at the Provider’s expense, or disposed of by Recipient.

The Provider, hereby agree to deliver Materials in accordance with the timetable set forth on the last page of this Agreement. If the Material is not provided, this Agreement is null andvoid and the Provider will be removed from the Materials in-kind sponsorship rotation.
