Job Title:Private Rented Scheme Administrator
Report to:North Worcestershire PRS manager
Location:North Worcestershire
Salary:Scale 5 Points 22-25, £19,370to £21,244 per annum, pro-rata. Commencing at point 22, £19,370, per annum, pro-rata.
Hours: 18.75 hours per week. Occasional eveningworkmay be will be required and will be compensated with time off in lieu, in negotiation with the PRS
Manager.
FIXED TERM CONTRACT UNTIL 31ST MARCH 2015
Please note: The post holder may be requiredto relocate to one or more locations around NorthWorcestershire to meet operational requirements.
Job Purpose
To operate within the established ethos of St Basils:
To line manage, co-ordinate and supervise the administration team in North Worcestershire and to provide an efficient and effective service to North Worcestershire.
To provide an effective and efficient administrative/financial function across the North Worcestershire Service. The Post holder will be an integral link between the Service in North Worcestershire and the Operations Department.
Key Duties
- To answer the telephone and respond to requests/or take messages.
- To be responsible for co-ordinating and maintaining weekly accounting records for the calculation and reconciliation of rental income for MYPLACE PRS North Worcestershire and monitoring arrears including reconciling rent against bank statements.
- Liaising directly with local authorities regarding housing benefit queries.
- Monitoring and updating records accordingly, sign up’s and exit’s.
- Liaising with Key partners to co-ordinate the submission of returns and statistical information e.g. SP workbooks and collating all outcome information/returns across North Worcestershire under the supervision of the line manager.
- To administer the Single Access Point procedure for referrals to the service in North Worcestershire, recording on to a database/spreadsheet and producing statistical reports on a regular basis.
- To assist and support in the preparation of grants and bids, presentation and submission of applications.
- To utilise a variety of software packages (including Word, PowerPoint, Spreadsheets, Databases etc) in order to provide the highest quality of reports to the PRS Manager and the Operations Department.
- To provide support in the preparation of standard reports to committees, administer meetings including the preparation of agenda and papers and to take minutes of the meetings.
- To organise events on request, which includes arranging meetings, venue arrangements, invitations, organisation and preparation of all catering requirements and welcoming all attendees.
- To submit fortnightly sickness and absence and returns for the PRS Manager.
- To provide secretarial support to the PRS Manager.
- To assist with audit checks on relevant files e.g. Client Files, rent information.
- Set up and maintain filing systems as appropriate.
General
- To undertake any further duties as deemed necessary, to ensure the effective and efficient operation of the service.
- To consult with Line Manager when involved in any campaigning issues as a representative of St Basils Centre or other agencies.
- To be responsible for health, safety and welfare of yourself and others at work.
- Any involvement with the media should be discussed and co-ordinated by the PRS Manager.
- St. Basils is dependant upon its ability to raise funds in order to sustain and develop its work with young people. Therefore, all employees are expected to support the work of the Fundraising Department, wherever possible, be involved in Fundraising events.

Holidays
25 days per annum, plus 8 Statutory Bank holidays and 3 Concessionary days holidays, pro-rata, per annum.

EXPERIENCE
Computer proficiency in Office and Outlook, including Word, Emails, Excel, Database, PowerPoint etc.
Knowledge based about Young People and Homelessness.
Voluntary Experience.
Knowledge base of Local Authority and Government funding.Office experience.
Manage and analyse complex project statistical data and meet internal and external partnership deadlines.
Experience in working to deadlines.
Experience of supervising staff. /
