Exams Officer

Pay Range: SO1

Hours: 37 Hours, Term Time Only + 10 Days

Strategic Direction

Work within the Curriculum Support Team to create an ethos based upon Co-operative values and approaches and an enterprise culture. To act as a coach/mentor to a group of students.

Duties

The duties outlined in this job description may be modified by the Principal, with your agreement, to reflect or anticipate changes in the job, commensurate with the salary and job title. It is essential that you have a flexible approach to start and finish times during the examination period and that you understand leave may not be taken at the time of examination results in August.

Key Responsibilities

  • To be responsible for all aspects of the conduct of internal and external exams
  • Ensure the Academy complies with all the necessary regulations to ensure that students receive appropriate accreditation and certification for their achievements
  • Advise students, parent/carers and staff of examination timetables
  • Ensure examination regulations are known and applied by all staff
  • Have a detailed working knowledge of examination procedures making suitable arrangements for rooming, seating and invigilation
  • Have a strategic oversight of national tests including, external examinations and teacher assessments
  • Develop systems within the Academy to manage the essential collection of data to ensure that all exam board deadlines for administration purposes are met
  • Allocate candidates to rooms or areas and ensure the number of invigilators complies with the required ratio
  • Liaise with the site manager and other appropriate staff to ensure furniture requirements, examination materials and notices are in place on time
  • Recruitment and line management of examination invigilators
  • Ensure that invigilators fulfil their obligations in accordance with the exam board regulations
  • Assist with invigilation where necessary
  • Liaise with SENCO/ EAL coordinator with regards to special arrangements and apply for special consideration when necessary
  • Work with the Assistant Vice Principal Standards to monitor the cost of examination expenditure to alert others to current entry practices and direct attention to the financial cost involved, making recommendations and approving invoices for payment as appropriate
  • Support the Data Manager in ensuring that examination data is incorporated onto the Academy data systems.
  • Coordinate the distribution of results and certificates to students for all examinations
  • Facilitate the work of the examination boards enabling then to carry out their obligation to the Academy and provide the necessary certification
  • Ensure practical and oral examinations are carried out by teachers in that subject area and that appropriate preparation of pupils has taken place according to examination rules
  • Disseminate specifications and official memoranda to colleague
  • Operate the appeal system effectively liaising with teachers, parent/carers and students
  • Maintain secure storage of exam materials in accordance with exam regulations
  • Compile reports to the Principal, Governing Board and Senior Leaders on examination results, progress and systems

General

  • To act as a coach/mentor to a group of students
  • To contribute to the smooth operation of the Academy through the duty system

  • First Aider (training will be provided)
  • Be aware of the responsibility for personal Health, Safety and Welfare and that of others who may be affected by your actions or inactions
  • Co-operate with the employer on all issues to do with Health, Safety and Welfare
  • Be aware of and comply with policies and procedures relating to child protection, inclusion, health, safety and security, confidentiality and data protection, reporting all concerns to an appropriate person

Continuing Professional Development

  • Undertake any necessary professional development as identified in the Academy Development Plan taking full advantage of any relevant training and development available
  • Undergo appropriate training in order to develop skills for the post
