CNSF Board Meeting

April 13, 2015

Colts Neck Court House

At 8pm President Jeff Sponder called the meeting to order.

Absent members Rob, Michael, and AJ, Chris

Frank Lecesse resigned as of 4/13.

Rob Fulmer from Colts Neck Journal attended and requested that we send stories on teams and players or other subjects of interest.

Finance

Anthony will now cut checks on 4/24 5/8 5/15/ 29, 6 /12 and 6/26.

The Auditor will start after tax season.

Background Checks

Majority of the coaches have submitted new background checks. Louise will run a list remaining coaches that need to submit their forms or will be suspended from coaching until completed.

Michael Jordan is working Rutgers Certification

Safety

The defibrillators need to be put in boxes, we need two more boxes for the new Cedar shed. All Commissioners should review the locations and process with all coaches at their season kick off meeting.

We will set up additional CPR dates to post to the public.

Emails and Board Communication

Emails, PR and other communications continue to be an area of concern. Eric will send the executive board the list of who has what access to the website and email system. Clearance will be modified as needed.

A reminder to all that unless communication is sport specific commisioners and other board members are not allowed to send email blasts or posts on website without executive board approval..

DJ and Eric will have a secure ‘tab’ on the website for confidential information as well as review other private access, library of minutes and other possible business documents.

Fundraising

Father/Daughter Dance was successful and raised $13,500.

Joe and Anthony will supply a spreadsheet with vendor and itemized expenses to be submitted to the CNSF Google drive.

Fundraising committee will meet before the May meeting to confirm the all events for the 2015 calendar including;

*Mother/Son event will be reviewed for possible new event.

*End of May to the Beginning of June Summer adults only kick off partnered with PTO- Michelle to confirm their interest and possible dates

*October Halloween festival with PTO

Soccer

Travel Soccer tryouts are planned for May 7,8,9 in the evening with exact times to be confirmed with other sports programs.

Winter training was successful there was a motion that passed for a proposal a summer training program June- August and specifically add pre k players. Fee will be $100 and would include t shirts.

Basketball

Try out dates are to be coordinated with all other sports events and training.

Baseball

Opening day this Saturday April 18th opening ceremony at noon, games and clinics will start at 9:45 games and clinics running though out the day. here will be a moonwalk and other refreshments including snack shed is open. Volunteers will be needed and Louise will send a email blasts for sigh up for seven for each shift .

Field maintenance is scheduled depending on weather There is no rain date for opening day.

There are twelve sponsors. Most of the billboards need to be replaced and the plan is a two year billboard sponsorship.

Softball

The brand new snack shed is now in place at Cedar Drive paid for by Softball fundraising. The shed will be used for AYFL for four home games.

The softball committee will like to put tops on the Cedar dugouts. Soft ball will raise funds.

Softball starts this Saturday 4/18 and the new shack shed will operational. Volunteers will be a rotation by teams.

Wrestling

Wrestling team will have their end of year party at Bucks Mill and plan to store the wrestling mats away in big bens outside of the hall. Carl is looking for storage containers for mats and other equipment until next year. There were 26 kids and two coaches. There needs to be a strategy for increasing awareness and participation.

Next step find out exact costs of bins and make a motion to approve the May meeting.

Marketing and Community Relations

The executive board met with the PTO executive board to develop a plan of cooperation for future events of both groups and also join forces to utilize the volunteers efficiently.

We will reinstate the post sports feedback for the improvement of each sport. The first one will be for Basketball to sent out in the next two weeks. Star will head committee with Maria and Jeanine

Old Business

DJ is setting up a board only access on the website to review sports budgets and the capital budget for a check and balance of expenditures. DJ will review the process and access by the April meeting.

DJ and Eric will have a secure ‘tab’ on the website for confidential information.

Joe will provide a calendar of events for 2015 and major capital fundraising at the next meeting.

Motion was made to close the meeting. The motion passed and the meeting was adjourned.
