Minutes of Annual General Meeting (AGM) 2016
held on Thursday February 4th at Izakaya Chu-ji Restaurant, Melbourne at 6:30 pm.

Attendance:

  1. Welcome and 2015 overview – EL

EL delivered welcome address and an overall rundown of events from the previous year.

Key points:

-A number of successful events & activities held in 2015: quarterly dinners, Big Bento Lunch, Trivia Night, Japan Box Hill Festival, pre-departure orientation, sake workshop, networking night, Bonenkai.

-Attended Oceania Conference in Christchurch in Oct 2015 with SA Rep Natasha Stent, key theme “staying connected”, ideas discussed between Oceania chapters and CLAIR.

-Looking forward to this year’s events and activities & to celebrating 30th anniversary of JET Programme.

  1. Report from sub-chapter – Tasmania (Alison Lowe)

Tasmania reported with a list of key events and highlights from 2015 and their goals for 2016.

-Key events held in 2015 include AGM, hanami picnic, Japanese matsuri festival, Japanese film night at State Cinema, dinners with members.

-In 2015 they averaged about 5 members to each event. This year the TAS group hopes to redo their mailing list and hopefully have some new faces along to some cultural events. Alison would also like to get in touch with JETs in the north of the state and see if they are interested in having any events up there.

-They are also looking at having some regular meetings for practicing and maintaining their Japanese language skills.

-They held their 2016 AGM on January 29 and managed to have about 6 members come along and vote for their new representative. They also welcomed Rachel Stivicic who will share the co-sub chapter rep role with Alison.

  1. Report from sub-chapter – South Australia (Natasha Stent)

South Australia reported with a list of key events and highlights from 2015 and their goals for 2016.

-The sub-chapter has been working with a new support team structure for the past year and finally seeing some improvements in terms of attendance at events and support for the SA Representative.

-Events held in 2015 include a networking night, dinners including with the new JETs, attended AVCON to promote JET & JETAA, JET information sessions, Japanese film night, and attended the2015 Adelaide Australia-Japan Foundation Reception.

-The SA chapter will focus this year on: Building relationships with other Japanese groups/foundations, building ties between their current SA JETs in Japan and the alumni at home, improving their Pre-departure orientation session, and encouraging more alumni to become involved in JETAA.

  1. Treasurer’s report – William Blakeley

WB reported that our Grant in Aide (GIA) was used less than in the past. We received eighty percent of our funding in August 2015. The final financial report in February will include Tasmania and South Australia’s subsidies. WB also indicated that he will not be continuing as treasurer in 2016. WB has also indicated that he will assist the newly appointed treasurer to ensure the handover process is collaborative and smooth. WB recommends an annual review of our financial and funding policies to maintain our capacity to fund events and allow for member subsidies.

  1. Other matters

GC would like to find a new home for the large blue tarp. EL has agreed to take it.

EL will meet with sub-chapter representative Natasha and Alison, and has invited committee members to join if they are able. Meeting will be held at 1pm, Saturday 6 February.
