TOPIC: JOB RESPONSIBILITIES

POLICY TITLE: PROGRAMS DIRECTOR

0PURPOSE:

The Programs Director is responsible for the effective and efficient operation of community based programs including the Day Away and related programs, Meals on Wheels, Friendly Visiting, Volunteer Transportation and Housekeeping programs within a defined geographic area. The Programs Director is responsible for ensuring that the programs operate in accordance with approved Service Guidelines and Agency policy.

The Programs Director understands the needs of our client group, including individuals with Alzheimer disease and related cognitive impairments and those with mobility impairments and the frail elderly. The Programs Director provides leadership for staff and volunteers, promotes the participation of all staff and volunteers to build an effective team, ensures appropriate orientation, training and supervision of staff and volunteers, evaluates the programs regularly to ensure standards are achieved, and ensures that expenditures are within budgeted amounts.

DUTIES AND RESPONSIBILITIES:

The Programs Director is responsibilities for the day to day operation of specific Day Away, Meals on Wheels, Friendly Visiting, Volunteer Transportation and Housekeeping programs. Rotating weekend, evening and on-call coverage are important function of this management position.

Responsibility for Program:

  • Identify service gaps and researches possible solutions;
  • Implement new or expanded services;
  • Initiate regular evaluation of the programs to ensure they are meeting set goals;
  • Ensure regular and effective communication between Facility staff, Day Away Program staff, Housekeepers, Team Leaders and Team Clerks;
  • Ensure appropriate staffing of programs during vacation, volunteer shortage, etc.;
  • Oversee purchases of each program, ensuring expenditures are within budget;
  • Ensure all expenditures within established budget.

Responsibility for Volunteers/Students:

  • Ensure recruitment of volunteers and participation of all staff in the process;
  • Ensure regular training sessions for volunteers/students.

Supervisory Responsibility:

  • Meet monthly with Area Teams and Day Away teams to review budget, stats, outstanding issues;
  • Assist individuals and teams in making decisions surrounding client's admissions and discharges;
  • Co-ordinate staff education opportunities based on determined budget and needs;
  • Recruit, interview, hire, evaluate staff and terminate staff (if necessary) in conjunction with Executive director;
  • Responsible for supervision of and assigned teams including the completion of performance appraisals on yearly basis.
  • Act as a resource and provide support to programs staff as required;
  • Ensure families and caregivers of clients are supported as per policy;
  • Ensure effective communication with administrative support staff;
  • Participate in the supervision and evaluation of designated administrative support;
  • Fill a management role through participation on various HCSS, SWLHIN, OCSA and other allied healthcare provider committees;

Responsibility for Record Keeping:

  • Check accuracy and sign-off time sheets and mileage sheets from subordinate staff on a timely basis
  • Ensure the submission of daily client records and quarterly review of individual program plans are completed;
  • Ensure that annual budget requests are accurate and submitted on time to the Executive Director;
  • Ensure accuracy of monthly statements of program expenses;
  • Ensure monthly statistics and program reports are accurate and submitted on time;
  • Ensures an organized petty cash system is maintained and credit card receipts are forwarded on time.

Qualifications:

Excellent interpersonal and communication skills

Degree level (or comprible experience) in Nursing, Social Work or Gerontology field

Proven administrative and staffsupervisory skills

Minimum of 5 years employment experience working with HCSS client demographic

Minimum of 3 years budgeting experience

Three to five years experience in Volunteer management

Current driver’s license and reliable vehicle
