Title III Monitoring ScheduleConsiderations:
Preparation:
DPI monitoring team leader communicates with EL Coordinator regarding dates of onsite visit. Team leader ensures:
- EL Coordinator has examined the monitoring instrument and has prepared documentation.
- EL Coordinator has identified relevant participants to interview, as well as scheduled a time and
place for the interviews.
- EL Coordinator has identified and contacted ESL and content teachers to be observed.
Note: Schedules should be approved by the Monitoring Team Lead at least one week before the day of the Monitoring visit. Names and positions of those being interviewed and observed should be included.
Day 1: MorningThe DPI monitoring team meets with EL Coordinator or ESL Director to go through the Title III Monitoring Instrument and view evidences.
Note: The monitoring team needs a secure space for document review. EL Coordinator and other pertinent LEA staff should be available if needed to answer team questions about documentation/evidence but will not be needed in the room during review.
One-hour lunch
Day 1: AfternoonThe DPI monitoring team meets with stakeholders to discuss related issues or for elaboration of evidences. Monitoring team may interview individually or in groups. Participants should include:

- Title I Coordinator
- Curriculum directors

- Lead ESL Teacher(s)

(If classroom observations cannot be scheduled for the morning of Day Two, this block can be switched with Day One afternoon.)
Day Two:MorningThe DPI monitoring team visits schools (at least one elementary school and one secondary school). The team will meet with the principal or designee prior to classroom visits. A member of each team will observe one ESL class and one content classes at each site concurrently, if feasible. Observations should be scheduled for approximately 30 minutes. The classroom visits help verify how the needs of EL students are being met.
One-hour lunch
Day Two: AfternoonThe DPI monitoring team meets again at the central office to discuss findings from observations, review evidences that were missing on the first day, and seek clarification for outstanding issues.
The DPI monitoring team facilitates a 20-30 minute “exit meeting” with EL Coordinator and other central office staff to present preliminary findings. The day should end by 3:00 pm.
