Chapter Funding Appeals Process

General Guideline and Philosophy

This process has been put in place to provide remedies related to funding requirements as outlined in the SME Governance Document. The chapter will be given a chance to appeal their case regarding their efforts to meet the deadlines set by the members in the SME Governance Document. Staff will assist in the process by providing the Member Council with any and all documentation and forms.

Chapter actions to file an appeal

  • Complete the Chapter Funding Appeal form — The chapter will state the facts of the case as they see it, who (specifically, on behalf of the chapter) is requesting the appeal and what the facts are from the chapters perspective. If there are any extenuating circumstances as to why forms could not be completed on time, this explanation should be included in the appeals forms.
  • Send copies of the forms in question — The chapter will provide a copy of the form(s) in question as they were completed.
  • Send any e-mails or fax receipts — The chapter will provide copies of e-mail or fax confirmations from when the forms in question were originally sent.
  • Deadline for appeals — 45 days from date on funding letter.

SME Staff actions in the event of an appeal

  • Complete the Chapter Funding Appeal form — SME Staff will complete the portion marked “SME HQ Summary.”
  • Provide copies of any forms received by staff — Staff will provide copies of any and all form(s) in question received at headquarters.
  • Provide copies of any e-mails or fax receipts — Staff will provide copies of any and all communications and communication receipts between the staff and chapter regarding required forms and chapter funding.
  • Deadline — Member Services staff will provide the completed Appeals form, with all required data, forms and copies prior to the next scheduled Member Council meeting.

Member Council actions in the event of an appeal

  • Vote — The Member Council at that next meeting will review the details of the appeal and vote.
  • Favorable Appeal — If the Member Council votes in favor of the appeal funds shall be released and sent (either by check or wire transfer) within 10 business days.
  • Unfavorable Appeal – If the Member Council votes against the appeal, the chapter will be notified by a representative of the Member Council of the results within 5 business days.
