TITLE: BEHAVIORIAL HEALTH SECRETARY/RECEPTIONIST

SALARY: $13.00 PER HOUR
STATUS: REGULAR FULL-TIME

PROBATIONARY
PERIOD: SIXTY (60) CALENDAR DAYS FROM INITIAL APPOINTMENT
MAJOR DUTIES:
· Schedules, re-schedules and cancels appointments for the behavioral health providers.
· Answers the telephone calls and directs to the appropriate behavioral health personnel.
· Completes timesheets for the behavioral health department.
· Greets behavioral health patients and directs them to the rooms.
· Designs, organizes, and maintains behavioral health patient’s files.
· Types letters to assist in creating time saving forms.
· Faxes behavioral health forms/documents to ancillary providers/schools/treatment facilities.
· Completes supply/health insurance requisition forms.
· Checks the mail daily and makes sure all mail is out in a timely manner.
· Completes release of information forms.
· Copies necessary forms/documents on an as needed basis.
· Initiates getting the appropriate signatures from the departmental supervisor, clinical director, and Chief Executive Officer for leave slips and time sheet verification forms.
· Takes minutes for medical staff meetings and keeps them on file for review/accreditation.
· Sends out letters to pain management patients as needed.
· Arranges pill counts with nursing.
· Arranges Urine drug screens with nursing.
· Communicates effectively orally and in writing.
· Maintains good collegial relationships with the interdisciplinary clinic team.
· Provides a high level of customer service when interacting with patients on the phone/in person.
· Assists with outreach/marketing/PSA’s for the behavioral health program as necessary.
· Disseminates intake/consent/and ADHD screening forms to the schools as needed.
· Prints out chart data from the E.H.R. as needed/requested by the Behavioral Health providers.
· Other duties as assigned.
MINIMUM QUALIFICATIONS:
· Requires a high school diploma/GED
· Knowledge in Native American health affairs
· Knowledge in health care delivery system social work
· Knowledge of the Rocky Boy Reservation as to its geographies to population groups, health needs, and cultural differences.
· Thorough knowledge of Chippewa-Cree culture and traditions preferred.
DESIRED QUALIFICATIONS:
· Associate Degree in Secretarial Science, Computer Science or Information Systems with 2 years experience directly related to the duties and responsibilities specified.
· Knowledge of health care systems to include a broad familiarity with various medical diagnoses, tests, medical procedures, treatment and outcomes.
· Specific in depth knowledge abut health care billing and medical insurance systems, private and public
· Facility with the technical, medical terminology necessary to communicate effectively about insurance, billing, and disability claims.
· Incumbent must have facility with the use of computers; specifically, knowledge of the Indian Health Service PCC data system, patient registration system, word processing, and the ability to learn and use various packages of the RPMS system such as the patient register packages.
· Employee must be able to transcribe dictation, set up and maintain filing systems, and manage complex scheduling tasks.
· Knowledge of alternate health care financing system, Tribal programs, County Welfare/Medical, Montana Medicaid, Veteran’s Administration benefit and eligibility, Social Security Disability Programs, and SSI, Crippled Children’s funding, Shriner’s Hospital and services, and Hill Burton funding.
Other Selection Criteria:
· Qualified Chippewa Cree members who are honorably discharged veterans will be given preference. DD214 required.
· Chippewa Cree Tribal Preference.
· Will be subject to drug testing.
· If terminated from any positions within the Chippewa Cree Tribe for violations of the Drug and Alcohol Ordinance I-99, must have completed requirements of the ordinance (show evidence).

Knowledge, Skills and Abilities:
1. Knowledge of various medical services offered by the clinic and medical terminology.
2. Skill in typing from rough draft into final from such things as medical reports, correspondence, and forms pertaining to the treatment of patients.
3. Ability to communicate in a professional manner both orally and in writing in any situation.
4. Knowledge of organization of patient records and ability to review records for completeness, consistency, and accuracy of select medical information with current clinic policy.
