EXPOSITION - PURPOSE AND RULES

(1) PURPOSE: The AFCEA exposition purpose is to maintain and improve the technical cooperation and understanding between Government, the Armed Forces and Industry in the design, production, maintenance and operation of communication electronics, computer science, command and control, and imagery equipment. Exhibitors are limited to firms, organisations and agencies whose exhibits are in harmony with the purpose of the AFCEA Exposition. ACTIVE SELLING OR ORDER TAKING IS NOT PERMITTED DURING THE EXPOSITION HOURS.

(2) OBJECTIVES: The objectives of this symposium and exposition are to alert the military personal computer user to the challenges that exist when conducting electronic business and outline some commercial solutions.

(3) LOCATION: The exposition will be held at the SHAPE Club, SHAPE HQ in Casteau, Mons, Belgium. There are parking facilities outside the Club.

(4) TIME SCHEDULE: 16 June 2010

Installation Exhibits: 0800 - 0900 hrs

Dismantling Exhibits: 1700 - 1800 hrs

Exhibits Opening Hours: 0900 - 1000 hrs

1245 - 1415 hrs

1600 - 1700 hrs

As the table-tops are located within the conference area, it will not be practical to man the exhibits whilst the conference is in session.

(5) REGISTRATION: The AFCEA Exposition is an integral part of the AFCEA Symposium. One symposium admission is included in the exhibit fee. All exhibits personnel must register. Please contact the AFCEA office for a Registration Form. Badges will be available for pick-up at the Registration Desk in the Foyer of the Ballroom.

(6) CANCELLATION: A penalty for cancellation shall be assessed to cover assignment work costs as follows: 50% of rental fee will be charged for cancellations before 2 June 2010. After 2 June 2010 no refund will be possible. No space assignment is binding to AFCEA unless full payment has been made, and this contract signed.

(7) SPACE: Displays and demonstrations are limited to the confines of an exhibitor's own space for table-top display, as is the distribution of literature or other items. One exhibitor may not exhibit the named "end product" of another exhibitor without permission of that exhibitor in writing, and the Exhibits Manager has the right to examine this permission.

(8) TABLE TOP & ELECTRICITY: The size of the table is: L 2m30, W 80 cm, on 6 square meters space. Tables are covered with blue cloths and skirt.

Electricity is included in your space rental fee. Power sources are available at 220 V.

(9) SHIPPING: There is no official freight forwarder; each exhibitor is responsible for his own shipment and customs clearance.

(10) INSURANCE & LOSSES: It has proved impractical for AFCEA to insure the exhibitor's equipment against loss, theft, damage and breakage. Exhibitors are urged to place "Extra-territorial" and other coverage on their equipment and exhibits. AFCEA carries public liability and property damage insurance, but this insurance does not protect the individual exhibitor and firm. AFCEA will co-operate fully, but cannot take responsibility for damage to exhibitor's property, or lost shipments either coming in or going out, nor for moving costs. Damage to inadequately packed property is exhibitor's own responsibility. If exhibit fails to arrive, exhibitor is, nevertheless, responsible for space rent. Exhibitors should insure against these risks.
