Call to Order
1. Call to Order. Chair Stephanie Beverage called the meeting to order at 2:05 p.m.
2. Roll Call.
3. Adoption of Agenda. A motion to adopt the agenda was made and carried. (JC/MM)
4. Oral Communications. None at this time.
Consent Calendar
5. Minutes from the August 22, 2016 Executive Council Meeting. A motion to approve the minutes was made and carried. (MM/GH)
Continuing Business
6. Benchmarks for recognizing staff. Stephanie revised the guidelines for recognizing outstanding staff, which was discussed at the last Executive Council meeting, and a copy was included in the meeting packet. A motion to adopt the guidelines with the intention to start July 1, 2017. The nominations will open in August and will close at the end of November June 30, 2018 for the time frame, July 1st thru June 30th, was made and carried. (HF/DC)
New Business
7. Open Equity/Knight Foundation. Jeanette gave an overview of what the Open Equity project by the Knight Foundation was and mentioned that Placentia was participating in this project. Once this product is in operation more libraries will be invited to join.
8. Harwood Review. Several of the member libraries attended the Harwood workshop so there was a good representation from Orange County libraries. Several libraries are already working on and implementing what they learned at the training.
9. Joomla. Diane reported that after the Director’s Forum Black Gold will be ready to receive files from contributing libraries. The yearly cost of Joomla for Santiago members will be $582 a year. Diane provided a list of topics to contribute to. Libraries will send their files to Black Gold then Black Gold will post them to Joomla. Black Gold will send out periodic reminder notices for libraries to review and update their posted policies.
Reports
10. State Library Report. Natalie reported on the projects going on at the State Library. She included a summary of these projects in the EC packet. Natalie added Long term coaching from Harwood that was not on included on the summary provided.
11. Executive Director’s Report. Diane included a report on the current projects that are going on. She will also be attending the Director’s Forum in November. Please let her know if you have anything that you would like for her to share at the meeting.
12. Committee Reports.
a. Children’s. Minutes included in packet. Genesis reported that the committee is following up on their Goals and Objectives.
b. Circulation. Minutes included in packet. Mary M reported that the Circulation Committee is reviewing their Goals and Objectives and fees.
c. Marketing and Outreach. Jeanette reported that the Committee is working on their marketing projects.
d. Reference and Local History. Minutes included in packet. Stephanie reported for Carrie that the Reference and Local History Committee has reached their Goals and Objectives. They have a good set of core trainers available for trainings. There are thinking about a mental health workshop.
e. Technology and Tech Services. Nothing to report at this time.
f. Teen/YA. No report at this time.
13. Agenda Preparation for the next Executive Council Meeting on February 27, 2016 at Orange County Public Libraries. (The December 19, 2016 meeting in Newport Beach will be a holiday luncheon.)
14. What’s new at your library? Members related new of their libraries.
