Job Description

Position Summary:

The Ministry Administrator plays a vital role in church stewardship, administration and ministry operations. You oversee accounts payable/receivable, payroll, maintain the congregation database, and provide administrative support for Adult Ministries, including GroupLife, Volunteer, Care, and Connections.

As the Financial Services and Ministry Administrator you are a front office liaison to Keystone congregation and local community, global missionaries, and church suppliers, always representing Keystone values, and maintaining confidentiality when working with sensitive personal and giving information. It is very important that you always put customer’s first, with a welcoming and service-oriented approach.

You oversee all accounts payable, giving records, budget reporting, payroll, audit compliance and Roll Call database accuracy, while also supporting the GroupLife, Volunteer, Care and Connections Directors. Most work involves both written and oral communication, word processing, financial processing, Quick Books management, data accuracy, calendar management, process organization, and task coordination/ management, as well as the ability to multi-task, work well under pressure and structure work processes to meet weekly, monthly and annual deadlines.

Responsibilities Overview

Responsibilities Include:

  • Cultivating strong relationships with team members individually and foster teamwork and community across the entire staff, volunteers, and congregation.
  • Word processing, letter writing, dealing with telephone and email inquiries, creating and maintaining filing systems (both paper and computer-based), and arranging meetings,;
  • Managing the church financial records and giving recordsin Quick Books including:
  • expense recording, tracking and reporting;
  • giving recording, tracking and reporting;
  • operations accuracy and procedure compliance, confirmed with annual audit;
  • Working as a team to arrange internal and external events;
  • Training and supervising office volunteers and delegating work as required;
  • Using a variety of software packages, such as:
  • Microsoft Word, Excel, Google, etc., to produce correspondence, documents and maintain records, and spreadsheets;
  • Google Mail to update personal and ministry director calendars;
  • Quick Books Online to update and maintain church financials;
  • Roll Call to update and maintain the congregation database.
  • Share in front office and phone coverage with Office Administrator, to ensure coverage Monday-Thursday from 9am-5pm.

Weekly Work Flow

  • Monday thru Thursday, between 9am-5pm (specific times tbd)
  • Support All-Church Events: Nights of Worship, Volunteer Appreciation, and SummerFest.
  • Guest Services at Worship Experiences is optional, on a voluntary basis.

Reports To: Christine Solis, Executive Director

Work Schedule: 24 hours per week
