Dance School Administrator

Department / Training
Department Purpose / To administer, co-ordinate, oversee and develop a range of quality activities, which uphold the aims of the Academy and offer participants the opportunity to develop their skills and knowledge and which contribute to the income streams of the Academy.
Job Purpose / Managethe administration of the RAD Dance School classes ensuring a high quality and commercially viable programme of classes and events with maximum participant numbers throughout the year.

Salary Scale / £22,000 – £26,000 pa pro-rata
Nature of Contract / Permanent – Part Time
4 days per week (28 hours per week – exact days to be negotiated) but must include 1-2 Saturdays per month during term time)

Friday 10.00 – 5.30
Saturday 8.00 – 4.00

Main Objectives

  1. Plan, co-ordinate and administer RAD Dance School classes.
  2. Contribute ideas for high quality, innovative and successful RAD Dance School classes and events.
  3. Promote RAD Dance School to ensure maximum numbers and income.
  4. Provide point of contact for students / parents / guardians with excellent customer service.
  5. Administer RAD graded and vocational ballet examinations for RAD Dance School students.

Main Tasks

Planning

1Liaise with Dance School Principal / Training Manager / Artistic Director to draw up annual and future plans for the development of the RAD Dance School.

2Draw up and maintain timetable(s) for Dance School classes in collaboration with the Dance School Principal / Training Manager / Artistic Director and book appropriate, teachers, pianists and studios.

3Identify which new classes can be introduced to the timetable considering waiting lists, studio and teacher availability and new dance genres.

4Liaise with the Dance School Co-ordinator regarding the timetable for the Dance School programme for adults.

5Liaise with Marketing Communications & Membership (MCM) Department concerning advertising and marketing of the Dance School, with guidance and support of Manager.

6Create e-shots in Mailchimp for marketing and communication purposes.

7Regularly update Dance School news and information on free dance and education listings websites and research and exploit new advertising and promotional opportunities.

8Regularly update the Dance School pages of the RAD website.

Financial

1Formulate and manage budgets for the DanceSchool making recommendations regarding expenditure.

2Process faculty and other staff fee invoices and pass to Finance Department for regular payment.

3Communicate with Dance School Co-ordinator for registering and invoicing of all student fees on CONCEPT * database.

4Receive and collect monies for Dance School fees.

5Administer the Dance School debt management procedure each term.

6Provide the Training Manager with statistics and data regarding student numbers etc. for departmental reports, as necessary.

Organisation and Administration

1Work with the Human Resources department to recruit Dance School Assistants and deliver inductions and training at the start of the Academic year.

2Instruct Human Resources Department to contract and DBS check Faculty and Assistants for the Dance School.

3Advise Music department of Pianist requirements for the Dance School.

4In liaison with the Dance School Principal, faculty and parents/guardians, allocate students to classes appropriate to their level of learning

5Provide faculty and other staff with all necessary student information and class times.

6Provide students with all necessary information in order to attend Dance School, including health and safety, rules and regulations and uniform.

7Communicate with parents/guardians as necessary via a range of channels including face-to-face, telephone, email and newsletters.

8Support the Dance School Principal in the organisation and running of Parent Watching Days and the Dance School Sharing of Work.

9Upon advice of Faculty, liaise with Examinations Department for entry of students for RAD examinations, including completion of required entry forms, arranging payments, correspondence with parents/guardians/students, running of exam days and distribution of examination results.

10Assist with the organisation and execution of photo shoots and filming involving Dance School students.

11Support the Artistic Director, Training Manager, Dance School Principal and Faculty for performances / demonstrations involving Dance School students.

12Provide Lead Online Communications Officer and Editor with information / articles about Dance School for inclusion on the RAD’s Facebook and Twitter pages, in Focus on Members and other publications.

13Ensure that the requirements of the RAD’s Health and Safety Policy, Data Protection Policy and Safeguarding Policy and Procedures are met within the operations of the Dance School.

14Carry out Risk Assessments for the Dance School classes and exams on an annual basis and at other times throughout the year as per the needs of the department.

15Undertake the role of Fire Marshal and attend training as required.

General

1Make links with Dance Agencies and youth dance organisations and attend networking meetings.

2Undertake the role with respect to others and due regard to equality of opportunity.

3Any other duties, which may arise within the Training Department.
