POSITION Administrative Assistant to Executive Director of Secondary Education,

Director of Federal Programs (ESL) & District Athletic Director

Central Support – ADR

SALARY: State Salary Schedule Salary Grade 63

QUALIFICATION: Associate’s degree in Business Administration, Public Administration or related field and 3 years’ experience in clerical work, preferably in office management or any equivalent combination of training and experience which provides the required knowledge, skills and abilities. Candidates must possess strong organizational, communication, and technology skills. Proficient in Microsoft Office required.

RESPONSIBILITIES: Provides support to the Administrators listed above for the purpose of providing assistance with his/her administrative functions. Attends to details with great accuracy and exercises independent judgment and initiative in completing work assignments.

·  Coordinates a variety of activities for the Administrators listed above (e.g. meetings, workshops, etc.) for the purpose of ensuring availability of facilities and/or equipment and delivering services in compliance with established guidelines

·  Maintains a wide variety of complex manual and electronic documents, files and/or records (confidential and non-confidential) (e.g. contacts, time sheets, databases, contracts, confidential files, etc) for the purpose of providing up-to-date references and audit trail for compliance with district, local, state and federal regulations.

·  Compiles data from a wide variety of diversified sources (e.g. agenda items, materials submitted by other departments or staff members, incoming mail and documents, budget requests, specific budget categories, etc.) for the purpose of complying with financial, legal and/or administrative requirements.

·  Processes a wide variety of complex documents and materials (e.g. forms, mileage/travel/ reimbursements, mail/supplies/deliveries, budget transfers, payroll, etc.) for the purpose of disseminating information to appropriate parties.

·  Responds to a wide variety of calls, concerns and/or complaints for the purpose of resolving problems, providing information and/or referring to appropriate personnel.

·  Monitors and coordinates budgets for all of the above administrators and approves expenditures as directed.

·  Assists with coordination of International Exchange Program.

·  Assists with communication, regulatory reporting and logistics of International Exchange Program.

·  Receives incoming correspondence, refers to appropriate staff for reply or action.

·  Composes correspondence for the above mentioned administrators and disseminates to principals, directors, administrators or appropriate persons.

·  Communicates with administrators, principals, teachers, coaches, parents and other personnel on a daily basis to assist them with information needed.

·  Responds to inquiries about policies and procedures from employees and parents by phone and in person.

·  Assists in organizing special events for the administrative office.

·  Maintains confidentiality regarding the school district and its prospective, current and former employees and students.

·  Orders supplies and handles invoices, requisitions, and purchase orders as needed for the Secondary Curriculum, ESL and Athletic Departments.

·  Maintains athletic forms (e.g. athlete eligibility, coaches’ contracts, etc.) and processes all coaches supplement pay.

·  Coordinates with athletic booking agents, EMT standby personnel and security to provide adequate personnel for athletic events.

·  Performs payroll-related duties for select staff.

·  Performs general clerical and secretarial duties for above administrators.

·  Works with textbook coordinator to distribute and manage end-of-year report and monies collected.

·  Carries out other duties as assigned by supervisors.
