Executive Assistant – Compliance and Eligibility

The FHSAA is seeking a full-time, benefited Executive Assistant to serve Associate Director and other administrators for the Department of Compliance and Eligibility. Duties include full charge secretarial support for the department administrators, clerical duties required by activities and functions of the workplace including composing, preparing and sending correspondence; receiving and routing incoming/outgoing mail; setting up and maintaining files; preparing, processing and submitting reports, forms, records, minutes, guides, manuals and other assigned projects.

Requirements include high school diploma, associate degree preferred, five years of secretarial or full charge office clerical experience, administrative secretary experience preferred, 50 wpm typing skill, and computer proficiency. Candidate must be a self-starter with the ability to work well with the public, handle multiple tasks and deadlines, work well under pressure in a dynamic environment, and possess excellent time management and organizational skills. Knowledge of Microsoft Office, including Word and Excel, and proficiency using Internet applications is essential. Work hours are 8 a.m. to 5 p.m. Monday through Friday. JOB DESCRIPTION – Executive Assistant

QUALIFICATIONS:

(1) High school diploma or equivalent.

(2) Postsecondary training or college credit preferred.

(3) Five (5) years successful secretarial/clerical or paraprofessional experience.

(4) Typing proficiency of 50 words per minute.

(5) Computer proficiency.

(6) Satisfactory criminal background check.

KNOWLEDGE, SKILLS AND ABILITIES:

Knowledge of computer software, office equipment, office practices and procedures. Ability to communicate orally and in writing. Ability toschedule time, establish priorities and work efficiently. Ability to compose correspondence andprepare reports in an articulate manner. Ability to use word processing, spreadsheet and database applications. Ability topromote a harmonious atmosphere and smooth flow of business. Skill in handling problems, concerns and emotional distress with sensitivity and tact. Ability to answer thetelephone in a professional and courteous manner. Ability to handle sensitive information with confidentiality. Abilityto manage the office. Ability to take initiative to begin projects without supervision.

JOB GOAL

To assist the department head(s) with the administrative operations of the department(s).

PERFORMANCE RESPONSIBILITIES:

(1) Perform clerical duties required by activities and functions of the workplace including preparing and sending correspondence; receiving and routing incoming/outgoing mail; setting up and maintaining files; preparing, processing and submitting reports, forms, records, minutes, guides, manuals and other assigned projects.

(2) Coordinate the preparation and distribution of information related to the department’sarea(s) of responsibility.

(3) Perform financial duties required by the activities and functions of the workplace,including initiating and processing requisitions, assisting in preparation and maintenance of budget, and other assigned projects.

(4) Maintain supply inventory.

(5) Maintain the administrator(s) calendar.

(6) Research and assemble information and background material for administrator’smeetings.

(7) Make arrangements for meetings and conferences.

(8) Make travel arrangements and handle paperwork.

(9) Answer telephone in a courteous and professional manner.

(10) Keep supervisor informed of potential problems or unusual events.

(11) Respond to inquiries and concerns in a timely manner.

(12) Perform other tasks consistent with the goals and objectives of this position.

PHYSICAL REQUIREMENTS:

Light Work: Exerting up to 20 pounds of force occasionally and/or up to 10 pounds of force as

frequently as needed to move objects.

TERMS OF EMPLOYMENT:

Support Staff Pay Grade 4; 250 days worked per year (12 months)

Performance of this job will be evaluated in accordance with provisions of the FHSAA’s policy on

evaluation of personnel.
