Meeting Minutes

Friday, March 3, 2006

Location: MSU Main Library South Conference Room

Present: Mike, Jaime, Marilia, John, Susan, Arlene, Sheila, Yvonne Boudreau via telephone.

Minutes: Arlene

Arlene brought up the topic of the budget after hearing that the Education Committee was concerned. David Slawson and Deb Nelson Dunbar are expensive speakers, and education was feeling that they must economize if they were to plan on spending the same amount as in previous conferences. Arlene pointed out that the MHSLA budget has as much money as it did prior to the 2004 conference in Kalamazoo when the conference intentionally lost approximately $10,000 to reduce the size of MHSLA savings. The Local Arrangements committee also intends to economize on bags and gifts because we would rather have Education spend that money.

There was then a lengthy discussion of the program presented to us by Yvonne. The intent was to make sure the LAC had enough rooms to accommodate the programming. The LAC urged that no more than two sessions run concurrently as we will not have enough attendees to make this viable. We need to schedule some free time when the programming will not compete with the vendors.

After meeting with Yvonne, Mike stressed that folks needed to have their budget estimates to him because he had to turn the LAC budget into Pat Martin on the 17th so that she can determine conference rates.

We also discussed the Opening Reception. We decided on a reception with wine and cheese & entertainment prior to a full dinner at the Kellogg Center. We will nix the idea of transporting everyone to the Eastwood Towne Center that evening.

We continued to banter about ideas for mixers and entertainment after dinner. Jaime mentioned that last year’s schedule was packed, including the evenings. Some people would like the evenings relatively free.
