Examinations and Data Assistant
- Key Functions
- Examinations Assistant: to provide support for all GCSE and A Level external and mock examinations and entrance/scholarship examinations.
- Data Assistant: Support the management of all school data post admissions.
- Line Management
Responsible to the Head of Digital Strategy.

Provide effective support to examinations and data through:
- Excellent communication skills.
- Strong ICT and data analysis skills.
- Ability to work as part of a close knit team.
- Good organisational and time management skills.
- Strong administrative skills.
- Flexibility to undertake other clerical duties as required.
Qualifications:
The job holder will be have
- a minimum of 2 A levels or equivalent vocational qualifications, and
- GCSE Maths and English
- Specific Duties
Exams:
- Support the coordination of entries to public examinations in liaison with Heads of Departments.
- Support the coordination of public exam papers, including checking and secure storage, in accordance with exam board regulations and internal processes and procedures for mock examinations.
- Working with the Admissions Team to arrange all entrance and scholarship examinations at 11+, 13+ and 16+ including entries, papers, accommodation etc.
- Support the production of public and mock exam timetables, accommodating clashes and including distribution to students and staff.
- Support the arrangementof suitable accommodation for sitting of public and mock exams in liaison with the Estates Manager, and in accordance with regulations.
- Support training of exam invigilators.
- Support the collation of Estimated Grade Forms, Coursework Mark Forms, Forecast Grades.
- Support the process of applying for Special Considerations, Access Arrangements and requests for modified papers and to inform the appropriate examination boards as required.
- Support the collation, checking and dispatch of exam scripts.
- Support the for the coordination of Exam Results Days.
- Support the coordination of appeals and review of marks.
- Support the monitoring the examinations budget.
- Co-ordination of the collection of fees for re-sits and external examination entries.
- Support arrangements for dealing with any health and safety issues which arise including knowing how to deal with emergencies in examination conditions, including evacuation routes from the building.
- Attend relevant meetings and professional development opportunities to ensure knowledge of and compliance with current procedures and legislation.
Data:
- Support for the Deputy Head [Academic] in the analysis of A level and GCSE data for all external examinations and mock examinations and school entrance and scholarship examinations.
- Support for the Heads of Section in the tracking of pupil progress including SIMS marksheets.
- Importing CEM data into SIMS.
- Supporting the completion of ISC/ISI data returns.
- Support for the Deputy Head [Academic] in the development of report templates, report printing and checking.
- Updating and maintaining assessment manager system in SIMS.
- Provide staff training / support in SIMS when required.
- Data entry of pupil/parent records into SIMS post admission, including leavers.
- Student transfer – managing student assessment data transfer between schools.
- Attend relevant meetings and professional development opportunities.
- Work with the Admissions team to support data flow and management.
Deputy Head support:
- To provide administrative support to the Deputy Head (Academic) and the Deputy Head (Pastoral), including diary management, preparation of papers, correspondence
- To assist in the recording and allocation of teaching staff cover
Any other reasonable duties as directed by the Headmaster, the Deputy Heads or the Digital Strategy Manager
