WICAP JOB DESCRIPTION

TITLE: Support Services Assistant

PROGRAM: Head Start Prenatal to 5

RESPONSIBLE TO: As assigned

POSITION SUMMARY: Performs all job responsibilities in a safe manner. Provide support services for all program content areas. Emphasis on duties assigned to a specific area of responsibility. Maintain data entry systems. Be a team player.

PHYSICAL/MENTAL ABILITIES AND PROCESSES:

·  Ability to accurately comprehend assignments, prioritize, organize, problem solve and effectively handle multiple tasks.

·  Ability to work independently on assigned tasks.

·  Strong computer literacy, keyboard skills (55 words per minute) - word processing; compatible web design program; database and spreadsheet and Internet and e-mail use required.

·  Use of effective communication skills, written, verbal, listening, and the ability to transcribe notes.

·  Ability to communicate effectively & professionally with parent, staff, providers and public, often involving confidential information.

·  Understand, interpret and implement policies and procedures.

·  Regular repetitive motion with hands, computer keyboarding, phone, filing.

·  Occasional lifting in excess of 25 lbs.

·  Daily sitting at computer workstation for long periods.

·  Frequent standing to operate various office equipment.

QUALIFICATIONS:

1.  Two years experience in an office setting.

2.  Strong working knowledge of modern office communications systems: E-mail, voice mail, IBM compatible computer system, and the ability to operate various office equipment: computers, fax, photocopy, etc.

3.  Ability to type 55 words per minute.

4.  Valid Driver’s License and access to a privately owned vehicle with liability insurance for use in completing work responsibilities as required.

5.  Experience and demonstrated knowledge of data entry and Microsoft Office Suite or comparable word processing software.

6.  Ability to maintain records on a computer system or willing to learn.

7.  Experience and demonstrated knowledge of web page design and editing desirable.

8.  Good verbal and written communications skills.

9.  Adult and Pediatric CPR and First Aid Certification strongly encouraged.

10.  Bilingual in English and preferably Spanish desirable, but not required. The primary language in the workplace is English.

11.  No prior convictions of child abuse/neglect. Criminal History background clearance.

12.  Physical and TB screen upon conditional offer to hire.

·  Documented on-the-job WICAP education and/or experience may be used as an equivalent to some of the experience qualifications.

EMPLOYMENT CONDITIONAL UPON RESULTS OF THE FOLLOWING:

o  Criminal History Clearance.

o  Physical Capacities Examination, and TB screen results.

o  Successful Drug and Alcohol Screening.

RESPONSIBILITIES:

1.  Ensure safety is a priority in performing all job responsibilities. Ensure adherence to the safety policy.

2.  Assist in coordinating and maintaining a system that ensures Head Start families receive the full range of services as required by performance standards and content area plans.

3.  Assist in designing and maintaining company web page.

4.  Support services for all content areas with emphasis in specific content area assigned.

5.  Assist as needed with data entry into child/family tracking system. Provide staff with trainings and support in child/family tracking system data entry as needed or requested.

6.  Perform various duties such as; data entry, typing, copying, receiving office clientele, answering phones, and distributing Head Start mail, etc.

7.  Must be detail oriented with a high level of accuracy.

8.  Assist Directors, Coordinators and Managers in all program activities.

9.  Assist in developing, implementing and maintaining an on-going evaluation tracking system to ensure quality control of the total Head Start program.

10.  Assist in developing and maintaining tracking/documentation systems.

11.  Record, type and distribute minutes of various meetings.

12.  Perform specific assignments and support services in all areas when needed.

13.  Performs all assigned responsibilities in a prompt and efficient manner to ensure a quality program.

14.  Functions on behalf of Directors/Coordinators in their absence by specific assignment.

15.  Follow step-by-step activities as outlined in content area plans and policies and procedures.

16.  Perform other relevant responsibilities as required by the program.

17.  Maintain current, valid driver’s license and liability insurance at all times on any personal vehicle used to conduct WICAP business.

18.  Model the Respectful Workplace Policy when interaction with WICAP customers, community members and colleagues.

19.  Participate in professional development, sometimes off-site, at the request and support of supervisor.

20.  Must be responsible, able to handle confidential material, able to organize effectively and able to work independently.

21.  Assure that a positive image of WICAP is portrayed at all times.

HOURS: SALARY RANGE:

40 Hours per week, 38-52 weeks per year. $10.25 per hour.

May include nights and weekends

ENTRY SALARY:

New Employees start at the entry-level Salary
